Business Systems - Senior Analyst role is responsible for coordinating, planning, and delivering projects that enhance the reliability, efficiency, and innovation of the company’s loan servicing systems and related technologies. This position serves as a key link between the Business Systems Manager, internal teams, vendors, and client-ensuring initiatives are completed on time, within scope, and aligned with company goals.

This role combines project management expertise with technical systems support, quality assurance, and process improvement. The Senior Analyst will oversee timelines, facilitate cross-functional collaboration, manage project documentation, and support system implementations. This is an individual contributor role and the expectation of this role is to provide leadership in the key areas above, including project oversight, prioritization, and quality assurance responsibilities.

ESSENTIAL FUNCTIONS

35% – Project Coordination & Delivery

  • Develop and maintain project timelines, deliverables, and resource plans in alignment with the Product Manager’s priorities.
  • Facilitate regular prioritization meetings to review project status, risks, and resource needs.
  • Schedule and lead project meetings; prepare agendas, record minutes, and track action items.
  • Maintain comprehensive documentation including charters, workflows, and status reports.
  • Monitor project risks and escalate as appropriate to the Product Manager or leadership.

25% – System Support & Issue Resolution

  • Triage technical issues from internal teams and clients, conduct initial root cause analysis, and document in Jira.
  • Coordinate with vendors and technical teams to ensure timely resolution.
  • Proactively monitor system performance and recommend improvements to prevent recurring issues.

20% – Innovation Support

  • Support the Business System’s Manager in translating business needs into actionable project objectives.
  • Track progress on development, testing, and deployment milestones.
  • Ensure projects follow ethical guidelines and operational best practices.

10% – Quality Assurance & Testing

  • Execute manual and regression testing for system updates, enhancements, and bug fixes.
  • Document and communicate test results, defects, and recommendations.
  • Assist in developing and refining testing procedures and best practices.

10% – Tool Administration & Process Optimization

  • Configure and maintain Jira/Confluence for efficient project tracking and reporting.
  • Recommend and document workflow enhancements to improve delivery efficiency.
  • Share best practices with team members to promote consistency and knowledge retention.

SPECIFIC DUTIES AND RESPONSIBILITIES

  • Coordinate project schedules, resources, and information to ensure efficient execution.
  • Monitor project progress, identify risks, and escalate issues as needed.
  • Prepare and maintain comprehensive documentation, including project charters, reports, and meeting notes.
  • Communicate with stakeholders to clarify requirements, timelines, and deliverables.
  • Organize and facilitate meetings, including scheduling, agenda preparation, note-taking, and follow-up.
  • Support tool integration by coordinating with technical teams and validating outputs.
  • Assist with Gestalt - Omni platform setup, testing, and user support for loan servicing operations.

SUPPORTIVE FUNCTIONS

  • Project Documentation and Communication - Ensures all project-related information is accurately recorded and shared, facilitating transparency and alignment among stakeholders.
  • Task and Resource Coordination - Supports the assignment, tracking, and follow-up of tasks, while managing resource availability to keep projects on schedule.
  • Tool and System Administration - Oversees the setup and maintenance of project management tools (e.g., Confluence) to ensure efficient team workflows.

LOCATION

This role will start out as a hybrid remote role from the Carlsbad office. It’s expected this role is to relocate to our Tucson office within 12 months.

Qualifications

EDUCATION (check what applies)

Bachelor's degree in Information Technology, Computer Science, Business Administration, or related field (or equivalent experience).

EXPERIENCE

  • 5-10 years of experience in project coordination, business systems support, or technical project management
  • Hands-on experience with project management tools and ticketing systems (e.g., Jira, Confluence, Asana)
  • Strong organizational and time management skills with the ability to manage multiple initiatives.
  • Familiarity with software implementation processes, system upgrades, and client onboarding
  • Experience coordinating cross-functional teams and managing communication between internal stakeholders, clients, and vendors
  • Familiarity with quality assurance (QA) and user acceptance testing (UAT) processes
  • Strong documentation skills, including experience preparing project plans, meeting notes, and status reports
  • Knowledge of IT support workflows or basic software development lifecycle (SDLC) concepts
  • Experience in financial services, banking, loans, or mortgage industries is a plus

Preferred

  • Knowledge of financial services, banking, loan servicing systems, or related industries.
  • Familiarity with AI tools and emerging technologies.
  • Experience with vendor coordination and client-facing projects.
  • Bilingual in Spanish.

OTHER

  • Business Systems Department is operational Monday through Friday 7:00am to 5:00pm, and the work schedule would be between the hours of when the department is open.
  • Occasional overtime or weekend work to meet project deadlines as needed.
  • Minimal travel; role is primarily office-based.
