Our client is a growing company investing in AI-driven automation to improve operational efficiency and strengthen its ability to scale as the business evolves. The organization is moving from informal AI usage toward a more structured approach, creating an opportunity to establish scalable AI workflows and systems across the business.

As a (Senior) AI Implementation Specialist, you will lead the company's AI adoption initiatives, combining strategic planning with hands-on implementation.

You will be responsible for developing an AI roadmap, identifying high-impact automation opportunities across departments, and directly implementing AI-powered workflows that improve efficiency and operational capacity. This is a newly created role, providing the opportunity to build the company's AI strategy and implementation framework from the ground up.

You will work directly with company leadership to understand business priorities, evaluate where AI can create measurable value, and turn those opportunities into practical solutions. Depending on experience and organizational needs, the role may also expand to include collaboration with or oversight of additional AI implementation support.

Key Responsibilities

AI Strategy & Implementation

• Develop and own the company's AI adoption strategy and implementation roadmap.

• Evaluate business processes and workflows to identify high-impact opportunities for AI and automation.

• Design and implement AI-powered workflows that improve productivity and operational efficiency.

• Help transition the organization from informal, ad hoc AI usage toward structured company-wide adoption.

• Prioritize AI initiatives based on business needs, expected impact, and implementation feasibility.

• Balance strategic planning with hands-on implementation and ongoing workflow improvement.

CRM & Systems Integration

• Integrate AI capabilities into the company's ActiveCampaign environment.

• Evaluate AI tools and integrations based on compatibility with existing systems and business requirements.

• Build workflows that connect AI capabilities with existing operational processes.

• Ensure new AI workflows integrate effectively with the company's current technology stack.

• Identify opportunities to improve CRM processes through AI-powered automation.

Workflow Automation & Process Improvement

• Analyze existing processes to identify repetitive, manual, or inefficient workflows.

• Design automation solutions that reduce manual work and improve operational capacity.

• Build new AI processes and workflows from the ground up.

• Continuously evaluate existing automations and recommend improvements.

• Develop repeatable AI-enabled processes that can scale as organizational needs evolve.

Data-Driven Decision Making & Reporting

• Use operational data to determine which processes should be prioritized for automation.

• Establish measurable objectives for AI implementation initiatives.

• Track and report on the performance and business impact of implemented workflows.

• Analyze results and team feedback to continuously refine AI automations.

• Provide leadership with clear visibility into AI adoption progress and outcomes.

Leadership & Cross-Functional Collaboration

• Work directly with company leadership to align AI initiatives with broader business priorities.

• Translate business challenges into practical AI and automation solutions.

• Clearly communicate AI capabilities, limitations, implementation progress, and results to non-technical stakeholders.

• Support teams as new AI-powered workflows are introduced and adopted.

• Potentially mentor, coordinate, or manage additional implementation support as the AI function grows.

Onboarding & Implementation Readiness

• Ramp into the organization ahead of the company's September 1 event, initially supporting through observation and familiarization as needed.

• Develop an understanding of existing systems, workflows, business priorities, and current AI usage.

• Prepare for full implementation work following the event.

• Identify initial opportunities that can support the company's broader AI adoption roadmap.

Qualifications

Experience

• Has proven experience implementing AI tools, automations, and workflows within a business environment, with senior-level experience strongly preferred.

• Has experience leading or contributing significantly to structured AI adoption initiatives rather than limiting AI use to personal productivity or informal experimentation.

• Has experience identifying business processes that can be improved through AI and translating those opportunities into working solutions.

• Has experience building AI processes or workflows from the ground up and continuously improving them based on measurable results.

• Experience implementing AI during periods of organizational change is considered a plus.

• Previous experience managing or mentoring implementation support is considered a plus.

Skills

• Can develop AI adoption strategies while remaining hands-on with workflow implementation and continuous optimization.

• Has strong familiarity with CRM systems, particularly ActiveCampaign, or experience working with comparable CRM platforms and integrations.

• Can evaluate AI tools and automation opportunities based on business requirements, existing systems, implementation feasibility, and expected impact.

• Uses data to prioritize automation opportunities, measure workflow performance, and guide ongoing improvements.

• Can independently take an AI initiative from business problem identification through implementation, measurement, and optimization.

• Is comfortable working directly with leadership and translating operational requirements into practical AI-powered solutions.

• Can clearly explain AI capabilities, implementation progress, and workflow outcomes to non-technical stakeholders.

• Demonstrates strong problem-solving skills and can identify opportunities for AI-driven process improvement without requiring constant direction.

• Can balance multiple AI initiatives while maintaining clear priorities, documentation, and follow-through.

• A clear and prioritized AI adoption roadmap is established.

• AI capabilities are successfully integrated into relevant ActiveCampaign workflows.

• At least one measurable automation is launched that improves operational capacity and reduces manual workload.

• Reporting is established to measure the impact and effectiveness of AI-powered workflows.

• Existing AI processes become more structured, scalable, and aligned with business priorities.

• The AI function is positioned for continued implementation and expansion following the September 1 event.
