About the Role:
New Vision Bradford is seeking an organised, professional and customer-focused Senior Administrator / Receptionist to join our busy and supportive team.
This role is based primarily at our central Bradford office at 10 Currer Street, with occasional cover required across a second central Bradford site and our Keighley hub. You will play a key role in ensuring the smooth day-to-day running of the service, providing a welcoming and efficient reception function alongside high-quality administrative support.
As the first point of contact for the organisation, you will help create a positive and professional experience for service users, visitors, partner agencies and colleagues, ensuring all enquiries are handled with care, discretion and efficiency.
Key Accountabilities
Act as the first point of contact for service users, staff, visitors, partners and stakeholders, ensuring all enquiries are managed professionally and appropriately signposted
Provide a welcoming, confidential and efficient reception service, maintaining high standards of customer care at all times
Manage telephone, email and face-to-face enquiries, escalating issues where necessary
Oversee reception duties including visitor sign-in processes, post, deliveries and meeting room coordination
Provide comprehensive administrative support across the service, including accurate record keeping and updating electronic systems
Support referral processes, appointments and service scheduling as required
Assist with meeting coordination, including agenda distribution, minute taking and information collation
Manage shared inboxes and support general office administration and organisational tasks
Liaise effectively with partner agencies and external stakeholders to support service delivery
Support data collection, reporting requirements and quality assurance processes
Contribute to service development by identifying improvements and supporting operational projects
Undertake training, supervision and continuous professional development as required
Provide day-to-day line management responsibilities for allocated administrative/reception staff, including supervision, workload coordination, support with performance and development, and ensuring high standards of service delivery
Work in line with organisational policies, procedures, confidentiality requirements and values
Skills and Experience
Experience in an administrative, reception or customer service role
Strong interpersonal, communication and organisational skills
Ability to communicate effectively with a wide range of people, both verbally and in writing
Confident use of Microsoft Office applications, including Outlook, Word and Teams
Ability to prioritise workload and manage competing demands in a busy environment
Experience maintaining accurate records and handling confidential information with discretion
Experience in health, social care, education or similar public-facing environments is desirable
Proactive, flexible and able to work independently and as part of a team
