About the school

The Faculty of Education, Philosophy & Theology includes two National Schools: The National School of Education and the National School of Philosophy & Theology. The School of Philosophy & Theology offers programs that explore the Catholic intellectual tradition but also encourage students to consider and question the fundamental assumptions we make about life itself. A key component of this commitment is the University’s Core Curriculum, which brings students from all schools together to explore the concepts of ethics, philosophy and theology.

About the role

The Senior Administrative Officer provides high-quality administrative support across the school, including assisting the leadership team under the guidance of the National Administrative Coordinator and supporting academic staff. The role requires strong knowledge of university policies and processes to ensure effective operations. It also involves collaborating across the School and University to align processes and enhance both student and academic experiences.

Key Responsibilities

• Provide high-level administrative support and assist the National Administrative Coordinator to ensure smooth day-to-day operations, including facilities, purchasing, invoicing, contracts, staffing, and financial records management.
• Support course and program coordinators by managing reports, enrolments, graduations, appeals, and coordinating School committees, including document preparation, meeting minutes, and stakeholder liaison.
• Act as a liaison between academic staff, sessional lecturers, and central administration to address issues, provide advice, and support student enrolment and program processes.
• Interpret and apply university policies and procedures to prioritise work, resolve issues, and ensure compliance in administrative activities.
• Manage timetabling, collate results for Board of Examiners meetings, and deliver accurate outcomes while providing excellent service to students and stakeholders.

Qualifications, skills & experience

• Degree qualification with relevant experience, or an equivalent combination of relevant experience and/or education/training.
• Advanced organisational and computer skills, including strong proficiency in Microsoft Office (especially Excel) and the ability to learn and use other systems.
• High attention to detail and accuracy, with the ability to prioritise tasks and achieve deadlines.
• Strong written and verbal communication skills
• Ability to maintain confidentiality, exercise discretion, and demonstrate sound judgement in problem-solving and decision-making.
• Proven ability to work both independently and collaboratively, with flexibility, stakeholder engagement experience, and a strong focus on delivering excellent student-centred service.
