Senior Administrative Business Partner (AI & ML Platforms)
We are seeking a Senior Administrative Business Partner to provide high-level management for our leadership team. This role is designed for a professional who views administrative management as a strategic discipline. By integrating advanced financial acumen with sophisticated project coordination, the successful candidate will serve as a vital conduit between senior management and key global stakeholders, ensuring that our operational workflows remain as precise and efficient as the science we pioneer.
Join us in our Warsaw or Poznań office 2 days per week - a hybrid approach designed to balance focused remote work with high-impact, in-person collaboration.
The Opportunity:
Strategic Leadership & Scope:Independently manage high-level scheduling, project coordination, and large-scale event logistics. You will act as a process innovator, identifying and implementing improvements to administrative workflows while managing complex financial processes - including purchase orders in myBuy, invoice processing, and accruals.
Accountability & Problem Solving:Take full ownership of initiatives from conception to completion. You will independently navigate operational challenges and design solutions that optimize team efficiency, ensuring all projects are delivered with a high degree of autonomy and precision.
Stakeholder & Relationship Management:Interact with both internal and external stakeholders, including senior management and key clients. You will manage these critical relationships to ensure seamless communication and represent the team’s interests at all levels.
Complex Operations & Logistics:Handle high-complexity tasks such as intricate international travel arrangements via Concur, visa applications, and on-site agendas. You will also oversee distribution lists through CIDM and lead the planning for major team off-sites, all-hands, and workshops.
Technical Expertise:Apply advanced proficiency in office management and project tools to meet operational goals. Additionally, you will support People & Culture activities, including recruiting logistics and the confidential onboarding and offboarding of team members.
Who you are:
Experience in high-level scheduling, project coordination, and large-scale event logistics.
Proven ability to drive initiatives from initiation to completion with full autonomy.
Skilled in stakeholder relationship management.
Expertise in specialized tools (such as myBuy and Concur, or similar platforms) for financial operations and complex international travel logistics.
Demonstrated success in identifying and refining operational workflows to significantly increase team efficiency.
Proven ability to maintain high accuracy while effectively managing high-density workloads and rapidly shifting priorities.
Full professional proficiency in English.
