In this role, you will serve as a trusted partner to senior leadership within Parexel Consulting, enabling them to operate at their highest level by bringing structure, clarity, and efficiency to highly dynamic schedules, priorities, and workflows.
What You’ll Do
As a Senior Administrative Assistant, you will operate as a proactive, business-minded partner providing high-level administrative support to senior leaders. You will:
Executive Support & Partnership
Serve as a trusted partner to senior leaders, anticipating needs and proactively managing priorities
Act as an extension of leadership by ensuring seamless day-to-day operations and enabling focus on high-value work
Build strong working relationships with executives, stakeholders, and cross-functional teams
Calendar & Inbox Management
Own complex, high-volume executive calendars with full autonomy
Proactively prioritize meeting requests, balancing competing demands and shifting priorities
Review and triage inbox requests, synthesizing information and making scheduling recommendations
Travel & Logistics Coordination
Manage complex domestic and international travel arrangements, often involving multi-stop itineraries
Anticipate travel needs and make informed logistical decisions aligned with business priorities
Ensure seamless execution of travel plans, including contingency planning for changes
Operational Excellence & Organization
Bring structure and clarity to fast-moving, often ambiguous situations
Track deadlines, commitments, and deliverables to ensure nothing falls through the cracks
Manage expense reporting and supporting documentation in a timely and accurate manner
Support event and speaking engagement preparation, including coordination of logistics, materials, and deadlines
Prioritization & Problem Solving
Manage competing priorities across multiple leaders and stakeholders
Adapt quickly to last-minute changes, proactively resolving conflicts and rescheduling as needed
Apply sound judgment to make decisions independently while knowing when to escalate
Continuous Improvement & Tools
Leverage tools such as Outlook, Teams, and expense systems (e.g., Concur) to manage workflows effectively
Embrace new technologies, including AI-enabled tools, to improve efficiency and streamline processes
Identify opportunities to optimize processes and enhance team effectiveness
What You’ll Bring
Experience & Skills
3–5+ years experience in an administrative or executive support role, ideally within a corporate, fast-paced environment. Previous experience in the pharmaceutical/life sciences industry is a plus
Previous experience supporting senior management or executives is required
Proven experience managing complex executive calendars and coordinating high-volume scheduling
Demonstrated success supporting multiple leaders and balancing competing priorities
Strong experience coordinating complex travel arrangements, including international logistics
Strong written and verbal communication skills
Excellent attention to detail and accuracy
Exceptional organizational skills
Problem solving and critical thinking skills
Discretion when handling confidential information
Proficiency with Microsoft Office (Outlook, Teams, PowerPoint) and expense management systems
Bachelor's degree preferred, or equivalent combination of education and experience

Flexibility to work a hybrid scheduled from our North Hills headquarters in Raleigh, NC
