Job Description

Under minimal supervision, the Senior Administrative Assistant provides advanced administrative support to executive leadership, typically a Senior Vice President, and functions as the receptionist for visitors to the Senior Executive Suite. This role excels at anticipating needs, proactively solving problems, and looking beyond immediate issues for broader implications. The Senior Administrative Assistant demonstrates initiative, independent judgment, and discretion, and is recognized for professional presence.

What you'll be doing:

  • Represents the Executive Administrative team with professional presence and a proactive approach, fostering teamwork and collaboration, while anticipating internal and external customer needs.
  • Provides executive administrative support for the Senior Vice President Airport Development, including calendar support, making travel arrangements and expense reports, purchase orders and requisitions.
  • Leads special projects by researching, compiling data, and preparing detailed reports. May participate in preparing budgets and maintaining budget accounts.
  • Reviews internal administrative support procedures, recommends changes, and adapts processes to address unusual situations. Demonstrates initiative in applying procedures and improving workflow.
  • Greets visitors, coordinates visitor arrivals, meeting spaces, and related logistics including preparation, refreshments, catering, and other support needs.
  • Trains and mentors administrative staff, influencing their development and performance. May coordinate administrative support assignments and monitor workflow.
  • Provides backup coverage for Executive Assistants during absences or special assignments, supporting Executive Vice Presidents with calendar management, meeting coordination, travel arrangements, and other time-sensitive administrative needs. Coordinates with the primary Executive Assistant to maintain continuity and keep priorities on track.
  • Performs other duties as assigned.

What you need:

  • Completion of high school diploma or GED.
  • Five (5) or more years of experience supporting senior-level executives.
  • Any equivalent combination of education and/or experience may be substituted for the above.

Required knowledge, skills, and abilities:

  • Knowledge of modern office and administrative practices and procedures. Proficiency in Microsoft Office Suite, and Outlook.
  • Ability to anticipate and solve recurring problems, identify patterns, and assess wider implications.
  • Strong communication skills, both oral and written.
  • Ability to train, mentor, and influence less experienced employees.
  • Discretion in handling sensitive/confidential information.
  • Ability to coordinate work activities across departments and adapt to changing priorities.

Special requirements:

  • Must obtain a Security Identification Display Area (SIDA) Airport Identification/Access Badge (badge) in accordance with Department of Homeland Security Transportation Security Administration (TSA) requirements in Chapter 49 of the Code of Federal Regulations Part 1500 et al., and DFW Airport’s Airport Security Program within thirty (30) days from date of employment and maintain qualification for a SIDA badge upon each badge renewal.

Desirable:

  • Bachelor’s degree.
  • Certified Administrative Professional [CAP] certification.
  • Project Management certification.

Efforts:

  • Sits for extended periods of time.
  • Uses keyboard devices and a computer monitor.
  • Uses near-visual acuity in proofreading typed assignments.
  • Exchanges information by telephone, computer, in person and in writing.
  • Uses reasoning in problem solving and analysis.
