The incumbent is responsible for the office’s administrative activities. This role contributes to the goal of effective office management and ensuring smooth office operations.
• Manage daily office operations and administrative tasks to ensure smooth and efficient office functioning.
• Administrative support for the airfreight warehouse and office operations.
• Develop, maintain, and improve administrative processes and procedures.
• Ensure effective records management and filing systems.
• Ensure adherence to company policies, industry regulations, and statutory requirements.
• Oversee admin and office related contracts, third-party vendor agreements and tenancy agreements.
• Tracks and keep maintenance contracts up to date.
• Support in admin projects such as office renovation, set up and re-instatement activities.
• Maintain inventory records of office assets and items.
• Manage all repairs and maintenance work
• Responsible for corporate travel arrangements and administration.
• Acts as a centralized procurement for applicable office items. Including obtaining quotations and processing purchase orders.
• Acts as a point of contact for tenants/contractors.
• Facilitates facility/property management and liaise with building management on facility related matters.
• Monitor performance of contractors and vendors under the incumbent’s care.
• Handle scheduling, appointments, meetings, and calendar coordination.
• Manage office supplies.
• Handle incoming calls, emails, and general correspondence.
Requirements
