We are seeking an experienced Accounts professional manage end-to-end accounting operations for two group companies - from transaction recording through to finalisation of books. The role runs the complete accounting cycle along with statutory compliance, inventory accounting, MIS and coordination with auditors, banks and vendors (domestic and international). The incumbent works with a high degree of autonomy, supporting the CFO on monthly finance reviews and internal financial controls, and reviews and guides the Junior Accountant on day-to-day transactional work. Strong working knowledge of Zoho Books, Excel is essential.
1. Books of Accounts & Transaction Recording
• Maintain complete books of accounts for both companies.
• Record all sales, purchase, journal and adjustment entries accurately and on time.
• Maintain fixed asset registers and prepaid expense schedules.
2. Reconciliations
• Perform daily bank reconciliation and general account reconciliations, including full-year bank reconciliation.
• Maintain and reconcile vendor and customer ledgers; track and follow up on outstanding receivables and payables.
• Record and reconcile company credit card transactions and the Director's credit card expenses.
3. Employee & Expense Processing
• Process employee reimbursement claims accurately and on time (typically 4–5 cycles a month across both entities).
• Prepare incentive-calculation workings and share for review / payout processing.
• Prepare salary-calculation workings and processing salary.
4. Documentation & Invoicing
• Raise Proforma Invoices (PI), Purchase Orders (PO), Delivery Challans (DC), E-way Bills and Tax Invoices as required.
5. Statutory Compliance & Taxation
• Prepare monthly GSTR-1 and GSTR-3B workings for both entities; prepare annual GSTR-9C reconciliation and workings.
• Reconcile GSTR-2B and monitor Input Tax Credit (ITC) utilisation; manage e-invoicing / e-way bill compliance.
• Prepare TDS workings and ensure timely deposit, return filing and reconciliation.
• Assist with ITR filing, Tax Audit, Director's Report and other ROC-related documentation.
• Maintain a consolidated statutory compliance calendar covering all due dates across both entities.
6. Internal Financial Controls (ICFR)
• Support the CFO on ICFR - document key financial controls, maintain supporting evidence and process notes.
• Operate basic control discipline: maker-checker on payments, monthly ledger scrutiny sign-offs and a month-end close checklist.
• Track and close audit / control observations within agreed timelines.
7. Reporting, MIS & Finance Reviews
• Prepare monthly MIS reports, cash flow statements and budgets for review by the CFO.
• Prepare the monthly data pack for the CFO's finance review and support decision-making with accurate analysis.
8. Banking & Trade Documentation
• Manage bank-related documentation, including AD Code submissions and export/import banking requirements.
• Review import documentation — Commercial Invoices, Packing Lists, Bill of Entry (BOE) and related customs paperwork.
• Coordinate with banks on filings, remittances and banking operations.
9. Import & Vendor Coordination
• Coordinate with domestic and international vendors on quotations, POs, invoices, payments and shipment status.
• Book Porter (or equivalent) logistics for material movement and coordinate timely pickup and delivery.
10. Inventory Management
• Maintain and oversee inventory records in InvenTree, ensuring stock accuracy across locations.
• Track inward/outward movement, reconcile physical stock with system records, and keep stock documentation (DCs, Packing Lists) aligned with dispatches.
• Liaise with the warehouse / operations team so inventory data supports accurate accounting and reporting.
11. Team Supervision
• Review and guide the Junior Accountant on: monthly GSTR-1 workings, daily Porter entries, reimbursement entries, credit-card recording and reconciliation, PIs / POs / DCs, incentive workings, AD-code documentation and bank reconciliation.
• Build and maintain documented SOPs for recurring tasks and cross-train the Junior Accountant as backup for critical filings, so the function is never dependent on one person.
12. Stakeholder Coordination
• Liaise with auditors, tax consultants and banks to ensure smooth completion of audits, filings and banking requirements.
13. Systems & Tools
• Maintain accounting records across Zoho Books, Tally, Excel and InvenTree, ensuring consistency and accuracy across platforms.
• Proven ability to independently manage the complete accounting cycle, from entry to finalisation of books, for multiple entities.
• Strong, current knowledge of GST, TDS and Indian statutory compliance, with independent filing experience.
• Working experience with Zoho Books, Tally, Excel and InvenTree, including inventory tracking and stock reconciliation.
• Good understanding of import documentation (BOE, Commercial Invoice, Packing List, AD Code).
• Strong reconciliation and attention-to-detail skills; ability to prepare MIS and support CFO-level finance reviews.
• Good communication for coordinating with vendors, auditors and banks; comfortable reviewing a junior team member's work.
• Education: B.ComM.Com CA-Inter / CMA-Inter (or equivalent).
• Experience: 5–6 years of relevant accounting experience, preferably in a multi-entity and/or import/export environment.
• Demonstrated experience handling accounting end-to-end, along with inventory accounting and exposure to finance reviews and internal controls.
