This is a fantastic opportunity for a hands-on accounting professional who thrives in a fast-paced environment, enjoys solving problems, and wants to make a meaningful impact. You will play a key role in supporting core accounting operations, strengthening processes, and helping build a scalable finance function as the business continues to grow.

This role offers broad exposure across accounting and finance, including billing, accounts receivable, payroll, cash flow management, financial reporting, compliance, and process improvement. You will work closely with teams across the organization, partner with leadership, and contribute directly to the company’s continued success.

This is an in-person role that requires regular onsite collaboration with cross-functional teams in a fast-paced and innovative environment.

What You’ll Do:

General Accounting & Close

  • Own month-end, quarter-end, and year-end close in NetSuite (including detailed analysis to budget)
  • Prepare and review journal entries, balance sheet reconciliations, and variance analysis
  • Maintain the general ledger in compliance with GAAP (ASPE)
  • Support external audits, reviews, and tax filings
  • Maintain and document accounting policies, processes, and internal controls

New Customer Financial Setup (HubSpot → NetSuite)

  • Set Up New Customers
    • ensure new customers identified in HubSpot approved and set up in NetSuite on a timely basis.
    • Review executed customer contracts for financial accuracy and revenue recognition implications
  • Set up new customers in HubSpot, billing platforms, and NetSuite
  • Ensure proper revenue recognition treatment under ASPE
  • As needed, partner with Sales Ops / RevOps to resolve contract or data discrepancies before billing
  • Maintain accurate customer master data across HubSpot and NetSuite

Billing, Accounts Receivable & Systems Integrations

  • Ensure accurate invoice creation, posting, and delivery
  • Manage the NetSuite AR subledger, including:
    • Invoicing
    • Cash application
    • Credits, refunds, and adjustments
  • Monitor AR aging, lead collections efforts, and follow up on overdue balances
  • Reconcile AR subledger to the general ledger monthly
  • Own and monitor integrations between HubSpot, Customer Systems ex. Ariba and NetSuite
  • Identify, troubleshoot, and resolve integration failures or data inconsistencies
  • Partner with systems and engineering teams to automate billing and AR workflows

Vendor Invoice Review & Payables Oversight

  • Review vendor invoices for accuracy, reasonability, and contract compliance
  • Ensure vendor charges align with approved contracts, pricing, and usage
  • Flag unusual or unexpected variances and follow up with vendors or internal stakeholders
  • Support AP processing and coding in NetSuite
  • Assist with vendor payment timing to support cash flow management

Supervision & Team Support

  • Be a team leader
  • Supervise and review work performed by part-time data entry or transactional accounting staff
  • Provide clear instructions, training, and feedback to ensure accuracy and timeliness
  • Review transactional entries for completeness and correctness before posting
  • Help define scalable workflows and segregation of duties as the team grows

Revenue & Deferred Revenue

  • Calculate and record monthly revenue, deferred revenue, and contract asset balances
  • Prepare revenue schedules and reconciliations in NetSuite
  • Support revenue forecasting inputs tied to bookings and billings
  • Assist with revenue-related disclosures and management reporting

Cash Flow & Working Capital Management

  • Own day-to-day cash flow monitoring and forecasting
  • Track customer collections and expected cash receipts
  • Partner with leadership on short- and medium-term cash planning
  • Prepare monthly cash flow reports, including:
    • Beginning and ending cash
    • Expected inflows from AR
    • Key outflows (payroll, vendors, taxes)
  • Support DSO improvement initiatives and cash collection strategies
  • Assist with banking activities, payment processing, and cash reconciliations
  • Provide insights into working capital trends and risks

Cross-Functional Collaboration

  • Act as finance point of contact for Sales, RevOps, and Customer Success
  • Review non-standard deal structures and pricing from a finance perspective
    Support leadership with billing, AR, and cash flow insights
  • Contribute to finance systems scaling and process improvement initiatives

Payroll & Global Finance Operations

  • Process and/or oversee payroll across all applicable countries, ensuring accuracy, compliance, and timely submission
  • Coordinate with internal teams and external payroll providers to resolve payroll issues and support payroll reporting
  • Prepare payroll journal entries, accruals, reconciliations, and related month-end working papers
  • Ensure payroll taxes, remittances, year-end reporting, and other statutory requirements are completed accurately and on time
  • Maintain and improve payroll processes, controls, and documentation to support growth and scalability

Project Management, Process Improvement & Implementation

  • Lead and support finance projects from planning through implementation
  • Coordinate stakeholders, timelines, and deliverables to ensure projects are completed successfully
  • Implement and improve systems, workflows, and controls across the finance function
  • Identify inefficiencies and streamline processes to improve accuracy, efficiency, and scalability
  • Build and document SOPs and repeatable processes to support a growing business

Regulatory Reporting & Tax Compliance

  • Prepare, review, and file all required regulatory and tax filings across applicable jurisdictions
  • Manage compliance for U.S. sales tax, WCB, WSIB, Texas Franchise Tax, and all other applicable regulatory filings
  • Monitor filing deadlines, maintain supporting documentation, and respond to notices or discrepancies as needed
  • Reconcile related accounts and ensure all filings and remittances are accurate and submitted on time
  • Partner with external advisors and service providers to support compliance and resolve issues

Financial Statements

  • Responsible for preparing monthly, quarterly and annual financial statements with in depth variance analysis compared to Board approved budget
  • Responsible for providing and actioning meaningful recommendations to deal with any meaningful variance analysis

What we offer:

  • The salary range for this role is $70,000–$90,000 per year. Final compensation will be based on experience, skills, and qualifications, as well as internal equity and market alignment, to ensure a competitive and fair offer.
