Secretary to Principal - Elementary SchoolThe Secretary to Principal role is set up for elementary schools without a full front office staff. In addition to providing administrative support to the Principal, the Secretary is therefore responsible for performing the additional office responsibilities of Health Assistant, Registrar, Receptionist and/or Bookkeeper. The Secretary will also be expected to develop and promote good community relations among various community and school clientele.
ESSENTIAL PHYSICAL REQUIREMENTS:
• Occasional lifting of five (5) to twenty (20) pounds
• Frequent sitting and standing; occasional bending, squatting, reaching, stooping
• Frequent repetitive motion of hands - keyboarding, writing, etc.
ESSENTIAL ENVIRONMENTAL REQUIREMENTS:
Typical educational office setting with overhead lighting and minimal to moderate noise level.
--- Maintains the principal’s calendar, makes appointments, schedules meetings and conferences. May assist in maintaining overall calendar of school and community events.
--- Maintains files on personnel, including evaluations and other confidential information.
--- Makes arrangements for various meetings, may attend and take minutes and notes and disseminates information.
--- Performs other front office responsibilities as school Health Assistant, Registrar, Receptionist or related duties as assigned or requested.
--- Coordinates a variety of building and staff activities including but not limited to, beginning and end-of-year check-in and check-out, back to school nights, parent teacher conferences, building security measures.
--- Responds to telephone calls, routes calls, takes messages, greets visitors and assists staff, parents and community with concerns and questions.
--- Manages a variety of personnel functions such as substitute teachers, staff leaves and leave records, pay sheets, and personnel hiring packets.
--- Coordinates, assigns and directs the work of support clerical personnel, serves as a data source for evaluation, and makes routine decisions.
--- Drafts and produces letters, memoranda, reports, special projects, such as newsletters, handbooks and other related materials and documents. Deals with matters of a highly confidential nature.
--- May coordinate student teacher placements.
--- May prepare and distribute a variety of regular and special reports for administration, the district and the state.
