In recognition of its high quality and patient safety, the AKUH is accredited by the Joint Commission International (JCI) as an Academic Medical Centre, and its Clinical Laboratories are accredited by the College of American Pathologists (CAP) for fast and accurate testing.As an equal opportunity employer, AKU believes in promoting a diverse and inclusive culture and is committed to adopting appropriate standards for safeguarding and promoting a respectful relationship with and between diverse workforce of its faculty, staff, trainees, volunteers, beneficiaries, wider communities, and other stakeholders with whom it works, including children and vulnerable adults and expects all employees/trainees and partners to share this commitment.Responsibilities· provide high-quality executive, administrative, coordination, documentation, and digital support to the Chief Quality & Patient Safety Officer (CQPSO), enabling effective management of day-to-day activities, meetings, communications, projects, data, and follow-up across the Quality & Patient Safety function· manage the CQPSO’s calendar, schedule meetings, coordinate appointments, and make necessary arrangements including venue, multimedia, transport, and participant confirmations· prepare, format, and accurately type correspondence, memos, letters, reports, minutes, presentations, and other documents as required, ensuring timely completion and professional presentation· maintain accurate and confidential records, files, trackers, reports, correspondence, and documentation related to the CQPSO’s office and Quality & Patient Safety function· maintain and update records and documentation related to international accreditation and quality standards, including ISO, Safe Care, and JCI, as required· manage incoming and outgoing correspondence, mails, and messages promptly and accurately while maintaining confidentiality· monitor predetermined levels of office supplies and coordinate replenishment as required· use Microsoft Office/365 and digital collaboration tools effectively for documentation, scheduling, data organization, communication, and presentation development· use technology and Generative AI (GenAI) tools responsibly and intelligently, where appropriate, to improve administrative efficiency, drafting, information organization, presentation development, and routine workflow support while maintaining confidentiality
Requirements· Bachelor’s degree in Business Administration, Management, Healthcare Administration, Computer Science, Information Technology, or a related discipline· 1–3 years of relevant experience in executive assistance, administration, coordination, healthcare administration, project support, or a similar role· strong executive support, organizational, coordination, documentation, and follow-up skills, with the ability to manage and prioritize multiple assignments and adhere to strict deadlines· excellent interpersonal and written communication skills, with the ability to present appropriate information clearly and concisely· strong quantitative and basic data management skills, with the ability to organize information, maintain trackers, compile indicators, and support reporting· proficiency in Microsoft Office/365, particularly Word, Excel, PowerPoint, Outlook, and related digital collaboration tools· basic capability in developing professional presentations and organizing digital information and documentation· interest in and practical awareness of Generative AI (GenAI) tools, with the ability to use them appropriately to improve productivity and administrative workflows· ability to work effectively both independently and as part of a team, while maintaining confidentiality and exercising discretion when handling sensitive information· young, energetic, technology-oriented, proactive, and adaptable, with the ability to anticipate requirements and use technology intelligently to improve the efficiency of the CQPSO’s officeOnly shortlisted candidates will be contacted.
