Secretary III – Facilities Support Services

Location: Fort Meade, MD

Position Summary

LAUKOA is seeking a qualified Secretary III to support facilities operations at Fort Meade, Maryland. This position provides administrative, clerical, documentation, scheduling, and coordination support for a Government facilities maintenance contract. The selected candidate will support project leadership, maintenance personnel, work control functions, reporting requirements, and general office operations while complying with contract requirements, security procedures, and established administrative processes.

Essential Duties and Responsibilities

  • Provide administrative and clerical support to the Project Manager, Site Lead, and project team.
  • Prepare, format, edit, file, and maintain project correspondence, reports, logs, records, and other documentation.
  • Support meeting coordination, scheduling, agenda preparation, note-taking, and action item tracking.
  • Maintain electronic and hard copy project files in an organized and accurate manner.
  • Assist with tracking deliverables, recurring reports, schedules, training records, and other administrative requirements.
  • Support work order administration, CMMS data entry, and documentation updates as needed.
  • Assist with timekeeping, personnel records, onboarding documentation, badge tracking, and employee roster updates.
  • Coordinate communication with internal staff, subcontractors, vendors, and Government representatives as directed.
  • Assist with purchasing documentation, material tracking, invoice support, and general project administration.
  • Answer phones, route messages, monitor shared inboxes, and support general office communication.
  • Maintain confidentiality and properly handle sensitive project, personnel, and Government information.
  • Comply with all environmental, safety, security, and contract requirements.

Minimum Qualifications

  • High school diploma or equivalent.
  • Minimum of three (3) years of experience providing administrative, clerical, office management, project support, or related support services.
  • Experience supporting commercial, industrial, institutional, secure, or Government facilities preferred.
  • Experience preparing correspondence, reports, schedules, meeting notes, and administrative records.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Experience using a CMMS, work order system, database, or similar tracking system preferred.

Required Knowledge, Skills, and Abilities

  • Working knowledge of office administration, document control, scheduling, and administrative support functions.
  • Ability to prepare, organize, and maintain accurate project records and files.
  • Ability to manage multiple priorities, deadlines, and administrative tasks.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to communicate professionally with Government representatives, management, employees, subcontractors, and vendors.
  • Basic computer skills sufficient to use email, Microsoft Office, CMMS records, and project documentation systems.
  • Ability to work independently and as part of a multidisciplinary facilities support team.
  • Ability to handle sensitive information with professionalism and discretion.

Security Requirements

  • Must possess and maintain an active Top Secret/Sensitive Compartmented Information (TS/SCI) security clearance.
  • Must comply with all site access, badge, security, and secure facility requirements.

Physical Requirements

  • Ability to sit for extended periods while working at a computer.
  • Ability to communicate by phone, email, video conference, and in-person meetings.
  • Ability to occasionally walk through facility or office areas to support project coordination and documentation.
  • Ability to occasionally lift and carry office materials, files, or equipment consistent with administrative duties.

Wage Rate

  • Between $40.00 - $55.00 per hour
  • An additional $5.09 per hour up to 40 hrs per week for H&W per WD 2015-4265
