• Ensure understanding of corporate and department policies, work procedures, standards such as ISO, and related guidelines, as well as ensure understanding of each work’s objectives and expected outcome, in order to understand tasks needed to be carried out, in which is in compliance with function’s policies and frameworks, law, rules, regulations and with the company’s overall direction, standards, and governance
• Act as point of contact for executives, as well as coordinate and collaborate with internal and external parties to ensure all critical matters are considered and handled appropriately
• Manage executives’ calendars, including but not limited to screening appointments, arranging appointments, organizing meetings, as well as setting up telephone and video conferences, in order that executives can perform their roles effectively.
• Prioritize conflicting needs, handle crucial matters quickly, and proactively, as well as follow through on projects to ensure successful completion
• Organize travel arrangements, including booking hotel rooms, air-ticket, and transportation, and develop an itinerary for executives (if needed) and forward information to relevant parties, to ensure the completion of itinerary and ensure all relevant parties are fully informed of the activities/transactions/processes
• Prepare necessary materials for the board meetings, develop and disseminate minutes of the meetings, and deal with correspondence (if needed) to ensure all information during the meetings is recorded properly for immediate use
• Follow up on the progress of work being carried out by other departments relating to tasks assigned by executives or unresolved issues, as well as arrange follow-up meetings (if needed) to ensure tasks are accomplished successfully
• Engage in regular meetings/updates with team members, collect feedback, encourage and promote team spirit
• Identify/respond appropriately to low-complex issues, in order to ensure that each issue is effectively dealt with or escalated to a superior level properly
• Respond to instructions to undertake specific tasks to assist senior members in the completion of projects or assignments
• Be accountable for other certain works as assigned from immediate superior level
