EDUCATION AND WORK EXPERIENCE

  • High school diploma or General Education Degree (GED) required
  • One to three years of administrative or secretarial experience preferred, preferably in a school system or educational setting.

QUALIFICATIONS

  • Knowledge of Maryland homeschooling regulations, student enrollment requirements, and educational record-keeping practices preferred.
  • Ability to read, interpret, and apply policies, procedures, legal documents, and state regulations related to homeschooling programs.
  • Ability to communicate effectively with parents, students, school-based staff, community agencies, and state education officials.
  • Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and database management systems.
  • Ability to maintain accurate records and prepare detailed reports.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive student and family information.
  • Demonstrates strong organizational skills and attention to detail.
  • Ability to prioritize assignments and manage multiple projects with competing deadlines.
  • Provides excellent customer service and responds professionally to inquiries and concerns.
  • Demonstrates initiative and the ability to work independently while maintaining positive working relationships with staff and stakeholders.
  • Strong written and verbal communication skills.
  • Ability to analyze information, identify discrepancies, and resolve issues in a timely manner.

ESSENTIAL JOB FUNCTIONS

  • Serves as the primary point of contact for families seeking information regarding homeschooling requirements, procedures, and services.
  • Coordinates and monitors homeschool enrollment, registration, withdrawal, and portfolio review processes which can include conducting portfolio reviews as needed.
  • Maintains accurate records of homeschooling students and ensures compliance with local, state, and federal requirements.
  • Reviews and processes homeschooling documentation submitted by parents and guardians.
  • Corresponds with families regarding required documentation, deadlines, and compliance concerns.
  • Collaborates with schools, Student Services staff, and other departments to ensure accurate student enrollment and withdrawal records.
  • Maintains databases and generates reports related to homeschooling participation and compliance.
  • Assists in the preparation of correspondence, presentations, memorandums, and reports for administrators and state agencies.
  • Schedules conferences, meetings, and portfolio reviews with homeschooling families as required.
  • Responds to telephone calls, emails, and written inquiries regarding homeschooling regulations and procedures.
  • Assists parents with accessing school system resources and information related to homeschooling.
  • Interprets and communicates policies and procedures to families, school personnel, and community stakeholders.
  • Maintains confidential student records in accordance with applicable laws and regulations.
  • Assists with department budget tracking, purchase orders, invoices, and other administrative functions as assigned.
  • Coordinates mailings, informational materials, and outreach efforts related to homeschooling programs.
  • Supports Student Services initiatives and special projects as assigned.
  • Performs other duties as assigned by the supervisor.

ENVIRONMENTAL FACTORS & PHYSICAL REQUIREMENTS

The environmental factors and/or physical requirements of this position include the following: While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand, and finger dexterity, including the ability to grasp, and visual acuity to use a keyboard. The employee frequently is required to sit, reach with hands and arms, talk, and hear.
