Sales & Events Coordinator (Onsite Support/Seasonal) | The Lodge at St. Edward State Park

As an Onsite Sales & Event Coordinator, your primary position will serve as liaison between client contacts and operations departments, to support the operation team with tasks and ensure the client’s event is executed as planned. Combined with your project management, communication, and conflict management skills, your professional presence will create confidence between the client and onsite team.

What you’ll do:
The Brass Tacks
• Maintains up to date information of events, both current and future
• Lead onsite event coordination (as assigned) which may occur during or beyond traditional business hours. Working hours may vary from time to time based on events and operation schedules by supervisor’s request
• Develops and maintains favorable working relationships and open communication with all departments.
• Communicates key updates and information to team members and management in a timely manner
• Reviews all assigned event orders, diagrams, timelines, and client notes prior to each event to ensure complete understanding of event requirements.
• Connects with assigned clients prior to the event start time to introduce themselves, confirm details, answer last minute questions, and establish themselves as point of contact.
• Complete pre-event walkthrough of assigned spaces to verify cleanliness, room setup, furniture placement, and overall presentation meets specifications
• Conducts regular touchpoints with clients to proactively address questions or requests, and monitors event flow and room condition
• Coordinates all event changes, service requests, maintenance needs, or operational adjustments with the appropriate internal departments.
• Documents client feedback, operational challenges, and recommendations for continuous improvement in post-event recap
• Takes ownership of assigned events from client introduction through event completion, ensuring all client expectations are communicated, executed, and followed up on.
• Carefully documents the details of shift through logs and other reports for continuity
• Handle additional administrative tasks as assigned by leadership
• Assist with special projects and completing ad hoc assignments as needed as necessary

THE NITTY GRITTY
• Strong written and verbal communication skills, including:
• The ability to write, proofread and edit reports, business correspondence, and sales contracts.
• Effectively present information and respond to questions from team members, managers, clients, guests and general inquiries.
• Ability to carry out instructions provided in written and oral format.
• Ability to add, subtract, multiply and divide in all applicable units of measure, using whole numbers, fractions, percentages, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
• Ability to compute discounts, commissions, proportions, and percentages.
• Strong computer literacy in Microsoft Office, especially Outlook, Word, Excel and PowerPoint.
• Detail oriented with strong multi-tasking and organizational skills.
• Ability to solve problems and make decisions in routine situations.
• Strong personal skills, including time management, planning and organizing, and delivery of results.
• Positive can-do attitude and the ability to adapt to a variety of situations.
• Must adhere to Columbia Hospitality Policies and Procedures.

The Lodge at St. Edward Park is located in one of Washington's most-visited state parks. The hotel is surrounded by a beautiful natural setting, including the enticing waters of Lake Washington, lush greenery, and an abundance of walking trails. The hotel, housed in a historic seminary, opened in May 2021. Home to 84 distinguished guestrooms and suites, each has been thoughtfully designed to blend the original character with modern touches.
