The Seasonal Creative Production Specialist reports directly to the Director of Creative Production for Macy’s Studios, assisting show producers in creative logistics and event production for Macy’s Thanksgiving Day Parade. This role supports the creative team by coordinating details for performing elements in various aspects of event production.
What You Will Do
Support the Creative Producer by building decks/presentations, proofreading scripts, etc.
Maintain proper communication with vendors related to operations and logistics
Schedule sub-committee calls or Teams meetings
Coordinate rehearsals and recording sessions, assisting the Creative Producer with music preparation, studio selection, talent transportation, and music production for pre-records
Support the casting process and performance programs (marching bands, large performance groups, etc.) through outreach and communication with directors and actors
Maintain the line-up in weekly communications and data entry
Prepare and update official handbooks, training manuals, pitch decks, etc.
Perform general office duties, including making copies, facilitating catering and building access for meetings, and assisting with deliveries and mailings
Assist with event production or production logistics, including operation, load-in/load-out activities, and event setup/strike for various Macy’s Parade events and trainings
Coordinate project tasks, generating follow-up lists, calendars of deliverables, reminders, and deadlines
Manage the team calendar, production and volunteer meetings, and trainings
Cast and source non-celebrity talent
Organize and manage logistics for performance groups, marching bands, and Broadway performances
Foster an environment of acceptance and respect that strengthens relationships, and ensures authentic connections with colleagues, customers, and communities
Skills You Will Need
Communication Skills: Strong verbal and written communication skills for maintaining communication with vendors and team members
Organizational Skills: Excellent organizational skills to schedule meetings, coordinate rehearsals and recording sessions, and manage project tasks and calendars
Technical Proficiency: Proficiency in building presentations, proofreading scripts, and using general computer and technical tools
Detail Orientation: Ability to maintain accurate line-ups, data entries, and update official documents like handbooks and training manuals
Project Management: Skill in coordinating project tasks, generating follow-up lists, and tracking deliverables, reminders, and deadlines
Logistics Coordination: Experience in coordinating travel, transportation, and logistics for talent and performance groups
Event Production: Knowledge of event production logistics, including operation, load-in/load-out activities, and event setup/strike
Creative Thinking: Ability to think creatively, strategically, and technically to contribute to the creative process
Leadership and Interpersonal Skills: Strong leadership, facilitation, and interpersonal skills with the ability to work across functional lines and at various levels
Customer Service: Provide exceptional support and service to the creative team and talent
Flexibility and Adaptability: Ability to adapt to a fast-paced environment and manage multiple tasks efficiently
Casting and Sourcing Talent: Experience in casting and sourcing non-celebrity talent for performances
General Office Skills: Competence in performing general office duties, including making copies, facilitating catering and building access, and assisting with deliveries and mailings
Who You Are
Candidates with a bachelor’s degree or equivalent work experience in a related field are encouraged to apply.
3+ years of experience in the performing arts with a background in film, music, dance, theatrical/event production, stage management or company management preferred.
This position requires heavy lifting, constant moving, standing, and reaching with arms and hands.
Involves standing for at least two consecutive hours, lifting at least 30 lbs. stooping, kneeling, crouching, and climbing ladders
May involve reaching above eye level
Requires close vision, color vision, depth perception, and focus adjustment
This position requires working outdoors and in inclement weather for events, as needed
Able to work a flexible schedule, including days, evenings, weekends, and holidays, based on department and company needs.
Working Thanksgiving Day is required.
