Seasonal Outpatient Coordinator/Scheduler - Per Diem

Shift: 8:00am - 4:30pm

Seasonal Requirements:

  • Individual is required to work 40 hours per week, for 13 weeks
  • Must have 1+ years of experience as a Scheduler/Coordinator in Healthcare setting/Clinic.

PATIENT POPULATION:
The patient population served can be all patients including geriatric, adult, adolescent, pediatric, and newborn. This also includes services which affect facility staff, physicians, visitors, vendors and the general public.

The Outpatient Coordinator/Scheduler works under the supervision of the Clinic Manager. This position will perform coordinator, registration, scheduling, authorizations, and clerical duties, as designated.

The primary purpose of this position is to carry out all assignments given relative to the safe and efficient operation of the Clinic and the care of Clinic patients and in accordance with current federal, state, and local standards, guidelines, and regulations that govern the facility and Medical Assistants, and the operational policies and procedures.

Must be able to work normal/scheduled working hours to include Holidays, call-backs, weeknights, weekends, and on-call. Agrees to participate, as directed, in emergencies and community disasters during scheduled and unscheduled hours. As a designated disaster service worker you are required to assist in times of need pursuant to the California Emergency Services Act.

To perform this job successfully, an individual must be a high school graduate or equivalent Medical Assistant certification and/or experience preferred..

Must demonstrate the knowledge and skills necessary to provide care appropriate to the age-related needs of the patients served. Must be knowledgeable of medical practices and procedures, as well as laws, regulations, and guidelines that pertain to Clinics. Must possess leadership and supervisory ability and the willingness to work harmoniously with Clinic staff assisting in the care of patients. Must possess the ability to deal tactfully with personnel, patients, family members, visitors, government agencies/personnel, and the general public.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence if required. Must be able to read, write, speak, and understand the English language.

Must be able to use Microsoft Outlook, Word, PowerPoint, and Excel, as well as web-based database programs and the Internet.

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages if required.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

To perform this job successfully, an individual should have basic computer skills.

LICENSURE/CERTIFICATIONS:
Medical Records or coding certificate preferred.

Responsibilities and Essential Functions:
*Indicates Essential Function

1 * Obtains insurance information from customers, obtain insurance verification for services.
2 * Completes authorization and referral process for new and established patients
3 * Answers phone, greet customers, route calls to appropriate staff, schedule patient appointments.
4 * Schedules appointments as soon as authorization has been obtained and relays messages and information to the care team and/or provider.
5 Ensures proper and timely registration for patients.
6 Assists in training of new employees in a positive and productive manner.
7 Calls and sends appointment reminders when requested/required.
8 Prepares charts for each patient, faxes evaluation and progress note to pertinent parties and correctly routes charts on discharge.
9 Prepares patient charges and inputs patient charges electronically.
10 Is knowledgeable in regards to submitting TARS as well as sending medical records offsite.
11 Collects co-pay payments for visits.
12 Maintains office equipment and maintains office supplies, (orders as appropriate).
13 Enters patient charges and verify charges, reconcile charges as directed.
14 Assembles new patient charts, maintains and files existing patient charts, "spot check" charts for data completeness and signatures.
15 Data entry into proprietary database and data entry into hospital data systems (patient registration) as directed. Audit data entry and generate reports as directed.
16 Responsible for the presentation of the waiting room.
17 Responsible for scanning signed evaluations and other needed documents into Meditech, when required.
18 Demonstrates effective and efficient communication skills to all customers and staff.
19 Maintains a positive working relationship with Physicians, leadership and staff.
