ABOUT THE ROLE
We are seeking an organised and proactive School Manager to coordinate the day-to-day academic administration and operational readiness of an assigned Higher Education School.
Working closely with the Head of School, Academic Program Managers and teaching teams, you will ensure academic activities are well coordinated, delivery schedules are on track, administrative processes run efficiently, and accurate records and reports are maintained across campuses and online or blended delivery modes.
As a key operational link between the School and central support teams, you will coordinate information, monitor deadlines, resolve administrative issues and drive process improvements, enabling academic leaders to focus on teaching, curriculum and academic performance.
KEY RESPONSIBILITIES
School Operations and Delivery Readiness
- Maintain a School delivery schedule for each semester and summer teaching period, tracking critical dates, owners, dependencies and completion of agreed actions.
- Coordinate readiness checks for unit sites, teaching materials, assessment information, staffing and campus requirements; refer academic content or standards concerns to the responsible academic lead.
- Coordinate School input to timetabling and teaching allocation with Academic Program Managers, the Head of School and Operations; track approved changes and communicate them to affected staff.
- Organise School meetings, induction, briefings and teaching events; maintain actions and follow-up.
Academic Administration and Student Support
- Provide a central administrative contact for academic staff and coordinate the timely routing of student enquiries to the appropriate academic decision-maker or service team.
- Work with other School Managers to monitor student email enquiries and direct them to the appropriate member of the academic team.
- Track administrative workflows for extensions, special consideration, credit transfer and recognition applications, appeals and other academic processes in accordance with approved procedures, ensuring decisions and communications are handled by authorised roles.
- Maintain administrative workflows for processes such as credit transfer applications, from referral to Academic Program Managers through to hand-off to Course Progression and other relevant teams.
- Coordinate assessment and moderation activities, grade review processes and results deadlines, following up outstanding actions and escalating delays or data discrepancies.
- Coordinate and schedule academic meetings, including Boards of Examiners; prepare agendas and papers, record decisions and monitor follow-up actions to completion.
- Work with Course Progression, Learner Success, Operations and relevant academic leaders to promote consistent student-facing information across campuses.
Records, Reporting and Continuous Improvement
- Maintain accurate School records, registers and evidence relating to teaching allocations, delivery readiness, moderation, approved academic decisions and continuous improvement.
- Compile operational data and supporting evidence for School performance reporting, course monitoring, accreditation activities and governance submissions.
- Ensure information is complete, appropriately version-controlled and submitted on time, referring academic standards and regulatory interpretation to the relevant academic or Quality Assurance and Compliance team.
- Identify recurring administrative issues, workload pressures and service delays, recommending practical improvements and monitoring agreed actions.
People, Resources and Stakeholder Coordination
- Coordinate administrative processes for academic recruitment, appointments, induction, system access and contract or payment documentation in collaboration with People and Culture, Finance and the Head of School.
- Maintain visibility of staffing changes, teaching availability and resourcing requests, providing accurate information to support the Head of School's workforce and budget decisions.
- Liaise with Operations, Learning, Teaching and Innovation, Strategic Partnerships and other central teams to coordinate resources, campus services and placement-related administrative interfaces.
- Provide task direction and coordinate routine priorities for approved School administrative staff within delegated resources, promoting consistent administrative practices across schools and campuses.
Risk, Service and Workplace Safety
- Monitor operational risks and deadlines that may affect student experience or delivery continuity, escalating material issues promptly to the Head of School and relevant service owner.
- Handle confidential and sensitive information appropriately and comply with College policies, privacy, records management and work health and safety requirements.
- Contribute to a respectful, responsive and culturally safe working and learning environment.
EXPERIENCE AND QUALIFICATIONS
- Relevant tertiary qualification or substantial equivalent experience in education administration or operations.
- Demonstrated experience coordinating complex academic administration within Higher Education.
- Experience supporting academic staff, managing records and workflows, meeting academic calendar deadlines and improving administrative processes.
- Experience in multi-campus or online delivery and working with student administration, timetabling, learning management and reporting systems will be highly regarded.
KNOWLEDGE AND SKILLS
- Understanding of Higher Education delivery, academic calendars, assessment administration and the distinction between administrative coordination and delegated academic decision-making.
- Strong planning, organisation, prioritisation and follow-through, with the ability to manage competing deadlines.
- Proficiency in using student and learning systems, spreadsheets, shared registers and reporting tools to maintain accurate records and present clear operational information.
- Effective communication and stakeholder coordination skills, with the ability to work collaboratively with academic leaders, central services and students across multiple locations.
- Sound judgement in identifying issues, coordinating solutions, escalating risks and handling sensitive information with discretion.
