Salary (Actual Salary): £22,680 - £23,040

Working Pattern: 37hours a week, Term time Only, Plus 5 days

About the Role:

Outwood Grange Academies Trust is seeking a dedicated and proactive Attendance Assistant to join our team in delivering our "Students First" vision. In this vital post, you will take day-to-day responsibility for the academy’s registration systems, maintaining meticulous records, and executing whole-school attendance strategies designed to boost overall attendance and reduce persistent absence. Working directly under the supervision of the Education Welfare Officer, you will serve as a core contributor to our student support and administrative operations.

Key Responsibilities & Expectations:

As an Attendance Assistant, your routine will center on ensuring that all daily registers and attendance data—including off-site activities and visits—are accurately maintained within the academy’s Management Information System. You will oversee daily automated contact procedures to inform parents and carers of absent or late students, log incoming calls, and process leave requests. Crucially, your daily interaction with families requires a balanced approach, offering genuine support while providing appropriate challenge to promote consistent attendance.

In addition to system management, you will play an active role around the academy site. This includes carrying out "Late Gate" duties, registering late arrivals or early departures, and designing engaging attendance displays across the school. You will work in close partnership with the Education Welfare Officer, Learning Managers, and the Senior Leadership Team, supplying crucial data to track punctuality and highlight attendance concerns early. Beyond your primary duties, you will handle general administrative tasks, support Inclusion cover when required, act as a Fire Marshall, and maintain strict compliance with child safeguarding and data protection policies at all times.

This role is centered on ensuring the complete and accurate management of the daily registration process and maintaining the academy’s attendance Management Information System. You will be responsible for proactive communication with parents/carers regarding absences and lateness, recording reasons for absence, and processing student leave of absence requests.

Key duties include providing data to colleagues (including SLT and Learning Managers) who monitor attendance issues, participating in late gate duty, and liaising with the EWO and Learning Manager to help raise academy attendance. You must also ensure all staff are advised on the correct attendance policy and procedures.

We are seeking a highly organised individual with the willingness and ability to enhance qualifications and training for development in the post. Essential skills include the ability to effectively communicate with a wide range of audiences and the capacity to respect and maintain confidentiality.

Crucial requirements include good time management and organisation skills, proficiency in using standard ICT packages, including Microsoft Office, and the ability to relate sympathetically to students and recognise potential child safeguarding issues. Experience of working in a school environment is desirable.
