Job Description

Responsible for planning, organizing, and directing all aspects of the Test Scheduling department.

Essential functions

• Manages, plans, and directs all aspects of the Test Scheduling Department.
• Must comply with HIPAA confidentiality standards when accessing or communicating patient information.
• Acts as a professional liaison for staff, surgery centers, medical staff, and other physician offices to maintain updated surgery schedules.
• Assist with selection of department personnel; responsible for supervision of staff including scheduling, training, and evaluation. Manages the approval of timecards, ensure enough personnel is scheduled to meet the demands of the department.
• Prepares and maintains systematic processes to document efficient scheduling procedures and monitors team’s performance.
• Acts as both delegator and liaison when Brings the concerns of personnel to the attention of Senior Managers. Prepares and presents reports to administrations as requested.
• Maintains strict confidentiality required related to medical records and other data.
• Responsible for organizing orientations, staff meetings, safety announcements, policy changes, personnel changes, and general staff guidance; maintains strict confidentiality required related to medical records and other data.
• Participates in professional development efforts to ensure currency in health care practices and trends
• Other duties as assigned by supervisor or directors.

Skills and abilities

• Ability to communicate clearly, and possess excellent phone skills in order to establish/maintain
• cooperative relationships with patients, physicians, and staff.
• Efficient gathering and effective comprehension of insurance and /or account information.
• Navigate and comprehension of computer software systems in office setting.
• Must maintain knowledge of clinic, insurance contract policies and procedures and medical terminology as related to the job.

Physical and Mental Demands

• Work requires hand dexterity using office machines such as keyboards, calculators, phones, and faxes.
• Requires use of computer equipment, ability to walk, sit, stand, stoop, use hands and fingers, reach with hands and arms, stoop, kneel or crouch.
• This position requires extended sitting time per day (7- 8 hours per day) while doing computer input and responding to phone call questions.
• Must be able to view computer screens for extended periods.
• Occasional stress related to workload of physicians and patients demands,
• May require lifting items seen in an office setting like rims of paper, laptops, able to lift boxes of charts or additional boxes of paper and this could go to up to 45 lbs.

Work Conditions

• Office setting environment.
• Medium low level of exposure to communicable illnesses like the flu.
• Work requiring moderate speed and high degree of accuracy.
• Manual dexterity using computer keyboard, calculator, fax and copy machine and any other equipment used in an office setting.

Standard Qualifications

Education: College courses or certificate preferred.

Experience: At least five years’ experience working in clinics or hospitals.
