Scheduling Team Leader – Patient Solutions

Location: Ashby-de-la-Zouch, Leicestershire

Working pattern: Hybrid – minimum 2 days per week onsite

Programme: Baxter Homecare Programme

Reports to: Clinical Business Manager

About the Role

We’re looking for an experienced Scheduling Team Leader to lead our scheduling function within the Baxter Homecare Programme.

This is a key operational leadership role, responsible for ensuring patient visits are scheduled safely, efficiently and effectively across a national clinical workforce. You’ll lead and develop a team of Schedulers and Senior Schedulers, optimise workforce capacity and utilisation, monitor operational performance, and work closely with clinical and operational colleagues to maintain an excellent service for patients.

What You’ll Be Doing

Team Leadership

  • Lead, coach and develop a team of Schedulers and Senior Schedulers.
  • Build a high-performing culture focused on accountability, collaboration and continuous improvement.
  • Conduct regular one-to-ones, performance reviews and development conversations.
  • Support talent development and succession planning across the team.
  • Recognise high performance and manage performance concerns appropriately.
  • Partner with the People Team on employee relations matters when required.

Scheduling & Workforce Planning

  • Oversee the safe and effective scheduling of patient visits across the Baxter Homecare Programme.
  • Ensure visits are allocated to appropriately trained and competent clinicians.
  • Optimise clinical workforce utilisation while maintaining patient safety and service quality.
  • Lead capacity and resource planning to meet current and future service demand.
  • Monitor scheduling KPIs, productivity and service delivery performance.
  • Implement contingency plans to maintain continuity of care and minimise disruption.
  • Proactively reduce missed visits through effective planning and escalation.
  • Identify and implement improvements to scheduling processes and operational efficiency.

Stakeholder Management

  • Work closely with Clinical Business Managers, Clinical Account Managers, Operations Leads and Nursing Teams.
  • Provide scheduling insights, operational updates and performance reporting to support decision-making.
  • Contribute to governance, service review and continuous improvement meetings.
  • Promote effective collaboration across scheduling, clinical and operational teams.
  • Balance patient needs, service requirements and available resources when making scheduling decisions.

Systems, Reporting & Compliance

  • Maintain oversight of scheduling systems and data quality.
  • Produce and analyse reports covering capacity, workforce utilisation and service performance.
  • Ensure compliance with company policies, SOPs, contractual requirements and governance standards.
  • Support audits and the appropriate escalation of incidents, complaints and service risks.
  • Use operational data and insight to identify trends and drive continuous improvement.

What We’re Looking For

Essential

  • Experience leading a scheduling, workforce planning, resource planning or operational team.
  • Proven experience managing operational performance and delivering against KPIs.
  • Strong people leadership, coaching and team development skills.
  • Experience using scheduling systems, workforce planning tools or similar operational platforms.
  • Good understanding of capacity planning, resource management and service delivery.
  • Strong stakeholder management and communication skills.
  • Ability to analyse data, identify trends and turn insights into operational improvements.
  • Strong IT skills, including Microsoft Office applications.
  • GCSEs (or equivalent) in English and Mathematics.
  • Ability to obtain an Enhanced DBS check and complete pre-employment medical clearance.

Desirable

  • Experience within healthcare, homecare, pharmaceutical or another service-led environment.
  • Experience managing geographically dispersed or remote teams.
  • Workforce planning or resource management experience within a clinical environment.
  • Leadership or management qualification.
