Key Responsibilities:

  • Coordinate and schedule daily and weekly resources to meet client and operational requirements.
  • Develop and maintain work schedules, ensuring resources are allocated efficiently and projects remain on track.
  • Coordinate with clients, supervisors, trades, subcontractors and internal teams to ensure smooth delivery of services.
  • Monitor job progress, priorities and changing client requirements, making adjustments to schedules as required.
  • Maintain accurate records of work orders, schedules, labour allocation and job status.
  • Assist with planning and coordination of upcoming works and projects.
  • Assist with preparing quotations and pricing for existing and prospective clients.
  • Support supervisors and operational teams with day-to-day scheduling and administrative requirements.
  • Identify scheduling conflicts or resource constraints and work proactively with relevant stakeholders to resolve them.
  • Promote a strong culture of safety and ensure relevant safety requirements, procedures and incident reporting processes are followed.
  • Attend and assist with regular toolbox meetings and operational planning discussions.

About You

  • Previous experience in scheduling, coordination, administration or operations, preferably within facilities maintenance, landscaping, cleaning, construction or a similar industry.
  • Strong planning, scheduling and organisational skills, with excellent attention to detail.
  • Ability to coordinate multiple jobs, priorities and stakeholders in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to build effective relationships with clients and internal teams.
  • Strong computer and administration skills, with the ability to maintain accurate records and scheduling information.
  • Customer-focused with the ability to communicate professionally and resolve issues effectively.
  • Previous experience using scheduling, job management or ERP systems is advantageous.
  • C-Class driver's licence, Construction White Card and National Police Clearance required.
  • Experience or knowledge of grounds maintenance, landscaping, cleaning or facilities maintenance is highly regarded.

This is a locally based role, and candidates must reside in the Karratha, Dampier, Wickham or Roebourne area. A local living subsidy is provided.
