Job Description

Who You Are:

Do you love talking to people and have a passion for travel and being active outdoors? Do you have a deep-rooted desire to help others and prepare them for a positive active travel experience of their own? Do you have great attention to detail and you’re comfortable working in a fast-paced environment? If you answered yes to these three questions, we may have an opportunity for you!

About the role:

As a Scheduling Coordinator, you’ll play a key role in bringing Backroads trips to life by coordinating the people and equipment needed to operate trips successfully. You’ll help build and maintain Field Staff and equipment schedules, balancing trip needs, operational logistics, Field Staff experience and preferences, and established scheduling guidelines. With schedules constantly evolving, you’ll anticipate needs, respond to changes, and solve complex logistical challenges to keep trips staffed and equipment moving efficiently.

This is a highly collaborative role that works closely with teams across Backroads to align on priorities, troubleshoot scheduling challenges, and communicate changes clearly and thoughtfully. You’ll regularly navigate competing needs and time-sensitive situations, requiring strong judgment, attention to detail, and the ability to see how changes in one area can impact the broader schedule.

Just as importantly, this role has a meaningful impact on the Field Staff experience. You’ll approach scheduling decisions and communication with kindness, transparency, and consistency, helping Field Staff understand changes and feel supported throughout the scheduling process. Ultimately, you’ll help create schedules that support exceptional trip quality while setting our Field Staff and operational teams up for success.

What you'll be doing:

Operations Scheduling

  • Build, maintain, and audit equipment schedules to support efficient operations and an exceptional guest experience.
  • Schedule unit (van and trailer) loads, drives, unloads, end of season maintenance to move equipment as efficiently as possible
  • Unit consolidation – track unit moves and ensure newly moved units are lining up to their new schedule, accounting for newly added trips.
  • Partner closely with Operations Managers to align on equipment needs, schedule changes, consolidations, and other logistical considerations.
  • Serve as the primary Scheduling contact for Operations, providing thoughtful logistics support and clear, timely communication.

Field Staff Scheduling

  • Partner with the Scheduling team to build, maintain, and audit Field Staff schedules, balancing business needs with established scheduling guidelines and Field Staff preferences.
  • Assign Field Staff to trips and other scheduled work (drives, FAMs, travel, training, etc.), considering factors such as carryover, language skills, experience, availability, preferences, drives, FAMs, travel days, and trainings.
  • Partner with Regional Managers (RM’s) to review their regions’ schedules, identify needs, and make thoughtful scheduling decisions.
  • Monitor and adjust schedules in response to enrollment changes, trip cancellations or additions, equipment changes, Field Staff availability, and other evolving needs while following established guidelines and parameters.
  • Respond to Field Staff scheduling questions with clarity, kindness, empathy, and transparency.
  • Communicate schedule changes via internal systems and email to field staff, ensuring Field Staff and office teams have accurate, timely information.

What you'll need to be successful:

  • Strong organizational, analytical, and problem-solving skills, with exceptional attention to detail.
  • Ability to prioritize effectively and manage multiple responsibilities in a fast-paced environment with frequently changing needs.
  • Sound judgment and resourcefulness, with the ability to work independently while collaborating effectively across teams.
  • Excellent written and verbal communication skills in English, with the ability to communicate clearly, directly, and empathetically, including when navigating difficult or disappointing conversations.
  • A calm, adaptable, and solutions-oriented approach to time-sensitive challenges.
  • Ability to handle sensitive employee and performance information with discretion and professionalism.
  • Proficiency with Microsoft Office, particularly Excel and Word, and demonstrated ability to quickly learn new systems and tools.
  • Backroads Field Staff experience is a plus, as is experience in scheduling and logistics, or another complex operational environment.

Work Environment:

  • On-Site, Salt Lake City, UT
  • 4 days in-office, 1 day work from home

About the Department:

Leader Development (LD) oversees the full Field Staff experience, supporting our Trip Leaders and Trip Prep Specialists from recruitment and onboarding through scheduling, development, performance, and ongoing support.
