Job Description

We are seeking a highly organized, proactive, and detail-oriented Scheduling Coordinator to manage calendars, appointments, schedules, and daily coordination activities. The ideal candidate is reliable, responsive, and comfortable coordinating multiple schedules, communicating with different stakeholders, and ensuring appointments and meetings are organized efficiently and accurately.

Responsibilities
  • Manage and coordinate calendars, appointments, meetings, and schedules.
  • Schedule, reschedule, and confirm appointments based on availability and business requirements.
  • Communicate with clients, customers, employees, and other stakeholders regarding appointments and scheduling.
  • Monitor calendars to identify conflicts and make necessary adjustments.
  • Send appointment confirmations, reminders, and follow-up communications.
  • Coordinate meeting times across different teams, locations, and time zones when required.
  • Maintain accurate scheduling information in calendars, CRM systems, and internal platforms.
  • Track cancellations, rescheduled appointments, and no-shows.
  • Follow up with customers or team members regarding pending appointments and scheduling requests.
  • Prepare daily or weekly scheduling reports when required.
  • Ensure scheduling policies, procedures, and service standards are followed.
  • Communicate scheduling changes promptly to the appropriate teams.
  • Assist with administrative tasks related to scheduling and coordination.
  • Identify recurring scheduling issues and recommend improvements to processes.
  • Maintain a professional and customer-focused approach in all scheduling interactions.

  • Strong adaptability and ability to manage changing schedules.
  • Professional, responsive, and reliable approach.
Requirements
  • Previous experience in  scheduling, coordination, administrative support, customer service, appointment setting, or a similar role
  • Experience managing calendars, appointments, meetings, or scheduling requests.
  • Experience communicating with customers, clients, employees, or other stakeholders.
  • Strong computer and digital skills.
  • Ability to manage multiple schedules and deadlines accurately.
  • Ability to work independently and collaborate effectively with remote teams.
  • Reliable internet connection and a suitable setup for remote work.
  • Professional, organized, dependable, and proactive attitude.
  • English proficiency is required if the position involves coordinating with English-speaking customers, clients, or teams.
