About the Role

Service Stream’s Utilities division are currently seeking a Works Coordinator to join our growing company.

Nature of position: Permanent, Full Time

Location: Melbourne, VIC

Reporting Line: Scheduling and Performance Manager

Key Responsibilities

  • Plan, schedule, and adjust daily work activities for a team of field-based metering technicians
  • Allocate jobs efficiently based on geographic location, priority, skill set, and resource availability
  • Monitor work progress throughout the day and make real-time adjustments to schedules as required
  • Ensure all scheduled works meet client service level agreements (SLAs) and operational targets
  • Maintain accurate and up-to-date scheduling records across internal systems and client platforms
  • Perform high-volume data entry and updates in Excel and relevant client systems
  • Point of contact between field staff, internal teams, and client representatives
  • Communicate schedule updates, conflicts, change and risks to relevant stake holders
  • Generate and process invoices using SAP in line with completed work and contractual requirements
  • Ensure all invoicing data is accurate, validated, and submitted within required time frames
  • Prepare and maintain monthly forecasts based on planned versus actual completion rates
  • Analyse scheduling and performance data to identify trends, gaps, and improvement opportunities
  • Lead initiatives to streamline complex workflows, driving efficiency and continuous operational improvement
  • Ensure all work performed is in accordance with contractual requirements to company standards and to the satisfaction of the client
  • Undertake and complete any other duties as requested by the Scheduling & Performance Manager
  • Strong focus on problem solving, compliance and servicing the client’s expectations

Skills and Experience

  • Minimum 12 months in a scheduling, workforce coordination, or operations support roles
  • Competencies in MS Office Suite: Word & Outlook is essential.
  • Strong proficiency in Microsoft Excel (data entry, tracking, and basic analysis)
  • Experience working with enterprise systems (SAP or similar ERP systems)
  • Basic technical knowledge of electrical metering work is an advantage
  • Excellent organisational, time management and administration skills
  • High level attention to detail and proactively meet deadlines
  • Familiarity with scheduling/dispatch systems or workforce management tools
  • Knowledge of energy network operations is an advantage but not essential)
