Job Description

The Scheduling Coordinator (SC) is the “face” of Adventure Orthodontics — the first and last point of contact for every patient and family member who visits our office. The SC embodies the warmth, energy, and empathy that reflect our Mission, Vision, and Values, creating a welcoming and organized environment where every patient feels seen, cared for, and confident in their orthodontic journey.

The ideal candidate is friendly, detail-oriented, and proactive — someone who thrives in a fast-paced setting, anticipates needs before they arise, and ensures a seamless, joyful patient experience from check-in to check-out.

of Essential Job Functions:

  • Greet every visitor with a warm smile and personalized welcome within moments of arrival.

  • Maintain a professional, positive, and courteous demeanor with patients, families, and team members at all times.

  • Follow the Adventure Orthodontics Guest Experience Standards (inspired by Disney-level service).

  • Answer and route incoming calls promptly and professionally.

  • Build genuine connections with patients and families, ensuring their needs are met with care and efficiency.

  • Contact patients who miss or need to reschedule appointments, and manage “no-show” follow-up calls.

  • Schedule and confirm patient appointments, optimizing the daily schedule for efficiency and patient satisfaction.

  • Monitor the “Needs Appointment Sooner” list daily to fill openings and accommodate earlier requests.

  • Review upcoming schedules for potential rescheduling or adjustments as needed.

  • Scan and review new patient forms for completeness and accuracy.
  • Communicate effectively with internal teams to ensure smooth patient flow and an outstanding experience.

  • Provide superior patient service with compassion and care in accordance with patient needs, company policies and procedures, government regulations, and dental board standards.

  • Help patients schedule appointments and resolve their questions via phone, text, or email.

  • Keep the office tidied; the coffee bar stocked, paper forms stored, etc.

  • Scan and file mail and other crucial documents.

  • Other administrative tasks as assigned

  • Help in providing an exceptional experience for every patient on every visit

Position Requirements:

  • Exceptional customer service skills.
  • Friendly and welcoming phone voice.
  • Experience multi-tasking in a busy environment while paying attention to details and seeing tasks through to the end.
  • Ability to educate and influence patients.
  • Excellent verbal and written communication skills and the ability to make decisions independently.
  • Strong team-player.
  • Knowledge of Microsoft Office business applications
  • High school diploma or general education degree (GED)
