How you make a difference

The Scheduling Clerk plays a key role in keeping clinic operations running smoothly by providing essential administrative and scheduling support to the Health Services Administrator/Program Manager. This position coordinates provider, clinic, and telehealth schedules, manages consultations and appointments, and uses ERMA‑CM and PTRAX to track on‑site and off‑site services and referrals. Working closely with teams across the organization, the Scheduling Clerk helps ensure timely care coordination, accurate documentation, and smooth day‑to‑day operations.

Key Responsibilities

  • Manage front‑office communications and scheduling, including multi‑line phone coverage, accurate message routing, consultation intake, and appointment coordination.
  • Coordinate and track patient care activities, including on‑site and off‑site clinic schedules, emergency procedures, inpatient hospitalizations, and specialty referrals.
  • Maintain accurate records and systems, entering and updating data in ERMA‑CM and PTRAX, managing filing systems, and ensuring timely processing of requests and documentation.
  • Monitor compliance and reporting requirements, including queue management, care management audits, event reconciliation, and creation of required tracking logs and lists.
  • Provide administrative and clerical support, such as preparing weekly packets and trip sheets, posting orders per contract, and performing additional duties as assigned.

Qualifications & Requirements

Education

  • High school diploma or equivalent.

Experience

  • One (1) or more years of clinic Experience preferred.

Licenses/Certifications

  • None required.
