and Responsibilities

Acentra Health is looking for a Scheduler to join our growing team.

The Scheduler plays a crucial part in streamlining appointment coordination and supporting the company's commitment to providing timely and comprehensive services in alignment with any requirements.

Responsibilities:

  • Use scheduling platform to schedule assessment and follow-up appointments with guardians and stakeholders within contractual timelines.
  • Manage complex calendars across multiple assessors.
  • Communicates clearly with the Operations and Clinical teams to determine scheduling needs and limitations
  • Document contacts clearly to develop a system of organization as to when to follow-up.
  • Maintain good working relationships with stakeholders and families during scheduling and follow-up
  • Resolves scheduling conflicts or last-minute changes
  • Reschedule appointments if assessment did not take place, identifying and addressing the reasons for missed appointments.
  • Assist providers with obtaining access to Atrezzo system, including account setup, troubleshooting, and liaison with technical support if needed.
  • Submit referrals submitted via electronic form into Atrezzo system accurately and promptly, ensuring all required documentation is included.
  • Monitor shared inbox for incoming requests, updates, and communications § Generate forms(s), letter (s) and mail to member to summarize findings and recommendations when applicable.
  • Other duties as assigned
  • Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules.

Qualifications

Required Qualifications

  • High school diploma or equivalent.
  • 2+ years’ experience managing high-volume, complex scheduling workflows.
  • Residency in State of Maine.
  • Superior attention to detail.
  • Professionalism, flexibility, and dependability under pressure.

Preferred Qualifications

  • Ability to multi-task and prioritize with variable and sometimes conflicting deadlines.
  • Medical terminology course helpful.
  • Previous healthcare experience
  • Strong communication (written/verbal), interpersonal, organizational, time management and communication skills.
  • Exceptional customer service skills.
  • Ability to work independently without direct supervision.
  • Experience with and knowledge of Microsoft programs.

Experience in Lieu of Degree

For non-clinical roles, or when not required by the contract specifically, the Company acknowledges that practical, hands-on experience can provide skills and competencies equivalent to formal education. As such, in cases where a Bachelor's degree may be required, the Company will accept a minimum of six (6) years of directly relevant professional experience in lieu of a degree. In instances where the candidate has an Associate's degree, the Company will accept a minimum of three (3) years of directly relevant professional experience in lieu of the Bachelor's degree.


Pay Range

USD $16.54 - USD $20.67 /Hr.
