Job Description

QUALIFICATIONS

  • High school diploma required.
  • Experience in a surgical facility preferred.
  • Computer experience preferred.
  • Requires language skills adequate for written and interpersonal communication
  • Require visual and auditory acuity adequate from frequent use of computers and occasional use of other business office equipment. Ability to sit for long periods and to perform desk and office activities.

OCCUPATIONAL EXPOSURE

Category III exposure to bloodborne pathogens and may encounter chemical hazards.

RESPONSIBILITIES:

  1. Considers priorities and special needs when scheduling preoperative appointments, radiology and surgical procedures.
  2. Schedules appointments and procedures according to facility and anesthesia staff availability, patient needs and physician’s block time.
  3. Manages ‘off block’ or special physician requests in collaboration with the perioperative director and team.
  4. Coordinates surgical preoperative appointment schedule as requested.
  5. Maintains schedule according to procedure and physician’s time and staffing requirements.
  6. Coordinates schedule assessing time and equipment availability; identifies conflicts and adjusts schedule as needed.
  7. Prepares appointment schedule and surgery schedule for review by the Operating Room Supervisor so that adjustments may be made as required.
  8. Ensures through coordination with preadmission testing team/supervisor all necessary documentation and clearances are obtained for patient prior to finalizing the appointment/procedure.
  9. Assist with scheduling or coordinating and obtaining necessary clearances for patients that are pending for an upcoming scheduled surgery.
  10. Effectively and professionally communicates with the care team through phone, email, and other electronic communications as well as in person visitation.
  11. Collaborates with preadmission team on needs of patients’ documentation preparation for upcoming scheduled procedures.
  12. Schedule pre-admission testing in coordination with PAT nursing staff.
  13. Assist PAT nurses with completing chart preparation.
  14. Prioritize 24-72 hour add-on surgical cases to ensure timely chart preparation and documentation upload.
  15. Upload and index documentation received from surgeons offices including lab results, EKG, imaging reports, medical clearances and H&Ps.
  16. Assist with next-day surgical schedule review to identify missing or incomplete information.
  17. Communicate outstanding documentation needs to surgeon offices.
  18. Monitor and track pending records to ensure timely completion.
  19. Document communication and follow up actions in EPIC.
  20. Participate in PAT huddles and workflow meetings.

  • The employee must be able to life and/or carry over 20 pounds on a regular basis and be able to push/pull over 25 pounds on a regular basis.
  • The employee must be able to stand and/or walk at least five hours per day.
