Surgery Scheduler – Ambulatory Surgery Center (ASC)


The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures while ensuring accuracy, efficiency, and exceptional patient service. This role serves as a liaison between physicians, patients, clinical staff, and insurance providers to facilitate seamless scheduling and preparation for procedures within the Cypress Surgery Center.

Essential Duties and Responsibilities:

  • Schedule and coordinate surgical procedures in accordance with physician availability, facility resources, and patient needs
  • Communicate with patients regarding procedure dates, arrival times, pre-operative instructions, and required documentation
  • Verify and collect demographic, insurance, and authorization information for scheduled procedures
  • Obtain and track prior authorizations and referrals as required by insurance plans
  • Coordinate with physician offices, anesthesia providers, and ASC departments to ensure scheduling accuracy
  • Review physician orders and ensure all necessary documentation is complete before procedures
  • Prepare and maintain accurate patient records within the electronic medical record (EMR) system
  • Confirm scheduled procedures and communicate any changes promptly to patients and staff
  • Maintain surgery schedules and optimize scheduling efficiency while minimizing conflicts
  • Ensure compliance with HIPAA regulations and patient confidentiality standards
  • Assist with administrative duties including answering phones, filing, scanning, and maintaining records
  • Provide excellent customer service and support to patients and team members

Qualifications:

  • High school diploma or equivalent required
  • Minimum of 2 years of surgery scheduling, medical scheduling, or healthcare administrative experience preferred
  • Experience in an Ambulatory Surgery Center (ASC), hospital, or physician practice preferred
  • Knowledge of medical terminology, surgical procedures, and insurance verification processes
  • Experience obtaining prior authorizations and referrals preferred
  • Proficiency with EMR systems and Microsoft Office applications
  • Strong organizational, communication, and multitasking skills
  • Ability to maintain accuracy and attention to detail in a fast-paced environment

Physical Requirements:

  • Ability to sit for extended periods while working at a computer
  • Frequent use of phones and office equipment
  • Occasional standing, walking, bending, and lifting up to 15–20 pounds

This position plays a vital role in ensuring efficient surgical operations and a positive experience for patients and providers.

PHYSICAL/MENTAL DEMANDS: Requires sitting and standing associated with a
normal office environment.

ENVIRONMENTAL/WORKING CONDITIONS Normal busy office environment
with much telephone work.
