Job Description

The coordinator gathers shift information for the nightly sanitation log, enters pre operational inspection results and pass rate data, maintains sanitation files, and follows open items through completion. The role supports compliance with the facility's Sanitation Standard Operating Procedures, Good Manufacturing Practices, food safety plan, chemical control program, safety requirements, and applicable USDA Food Safety and Inspection Service expectations. This position supports sanitation leadership and does not replace the decision authority of Quality Assurance, Safety, Maintenance, or department management.

Starting pay - $28hr plus 1.50 for shift differential

  • Nightly log. Gather accurate information from employees and supervisors about sanitation progress, staffing, delays, equipment issues, chemical concerns, corrective actions, and other significant shift events. Prepare and distribute the nightly log within the required time.
  • Pre operational results. Enter inspection outcomes and pass rate information accurately. Track first pass results, repeat inspections, deficiencies, corrective actions, and final disposition as required by the facility's recordkeeping process.
  • Sanitation documentation. Maintain current and orderly electronic and paper records, which may include SSOP forms, master sanitation schedule records, chemical concentration checks, equipment or area signoffs, corrective action records, training records, and verification documents.
  • Data quality. Review submissions for missing fields, inconsistent entries, late completion, or obvious errors. Contact the responsible employee or leader for clarification and follow the issue through correction.
  • Reporting. Update spreadsheets, dashboards, or internal systems used to monitor sanitation performance. Prepare routine summaries and identify recurring misses, incomplete records, or adverse trends for leadership review.

Shift Coordination and Communication

  • Daily coordination. Communicate priorities, schedule changes, inspection status, unresolved items, and information requests to sanitation employees and supervisors. Confirm that messages reach the appropriate owner.
  • Cross functional follow up. Coordinate information and action items with Quality Assurance, Production, Maintenance, Safety, Human Resources, and warehouse or supply teams when sanitation work depends on their support.
  • Schedules and meetings. Organize sanitation meetings, training sessions, follow up reviews, and other department events. Prepare agendas or materials, record action items when requested, and track due dates.
  • Email and task management. Monitor assigned email and communication channels, respond to routine requests, route technical or management decisions to the correct leader, and follow up on unanswered or overdue items.
  • Shift handoff. Help maintain a clear handoff between sanitation and the next operating team by documenting outstanding conditions, inspection status, repairs, restricted areas, and required follow up.

Food Safety and Regulatory Support

  • Program support. Follow approved SSOPs, Good Manufacturing Practices, hygienic zoning, traffic control, allergen controls where applicable, foreign material controls, pest prevention practices, and environmental pathogen control procedures relevant to assigned duties.
  • Verification support. Compile documentation requested for internal reviews, USDA FSIS activities, customer visits, and third party audits. Retrieve records promptly and notify leadership of missing or conflicting information.
  • Corrective actions. Document or track sanitation corrective actions as directed. Confirm that the assigned owner, due date, completion evidence, and required review are recorded.
  • Trend awareness. Bring repeated pre operational failures, recurring equipment sanitation problems, missed master sanitation tasks, or unusual environmental monitoring concerns to the attention of Sanitation and Quality Assurance leadership.
  • Facility readiness. Support the department in maintaining organized work areas, current forms, available sanitation supplies, and accurate information needed for operational and regulatory review.

Administrative and Department Support

  • Prepare reports, presentations, forms, labels, schedules, meeting notes, and other documents requested by sanitation leadership.
  • Maintain contact lists, calendars, department files, approved templates, and shared folders so employees can locate current information.
  • Assist supervisors with routine administrative work, including data entry, document distribution, supply requests, training coordination, and follow up with assigned employees.
  • Track department commitments and due dates and provide timely reminders to the responsible leaders.
  • Suggest practical improvements to forms, data entry, filing, communication, and recurring reporting processes.
  • Perform other duties related to sanitation coordination and administrative support as assigned.

Safety Responsibilities

  • Follow all company safety rules and wear required personal protective equipment in production and sanitation areas.
  • Comply with chemical handling, labeling, storage, and Safety Data Sheet requirements. Do not mix, dispense, or handle sanitation chemicals without required training and authorization.
  • Respect lockout tagout, machine guarding, elevated work, confined space, electrical, and other hazard controls that apply to the work area. Perform specialized tasks only when trained and authorized.
  • Report injuries, near misses, chemical exposures, damaged equipment, uncontrolled energy, slip or trip hazards, and other unsafe conditions immediately.
  • Maintain safe office and record storage practices and keep walkways, exits, and access to emergency equipment clear.

Required Qualifications

  • High school diploma or equivalent.
  • Experience in administrative support, production coordination, sanitation, quality, or another role requiring accurate records and frequent follow up.
  • Working knowledge of Microsoft Excel and Outlook and the ability to learn company systems.
  • Ability to enter and review data accurately, maintain organized files, and handle several time sensitive requests during a shift.
  • Clear verbal and written communication skills and the judgment to route urgent issues to the correct person.
  • Ability to protect confidential information and follow document control requirements.
  • Ability to work the assigned sanitation schedule and adjust hours when operational needs, audits, training, or production changes require coverage.

Preferred Qualifications

  • One to three years of experience in food manufacturing, meat processing, sanitation, quality assurance, or manufacturing administration.
  • Experience maintaining SSOP, pre operational inspection, corrective action, chemical, training, or audit records.
  • Intermediate Excel skills, including sorting, filtering, formulas, charts, and basic trend reporting.
  • Knowledge of USDA FSIS regulated operations, HACCP based food safety systems, Good Manufacturing Practices, and sanitation verification concepts.
  • Bilingual communication skills when useful for the facility's workforce.
