Job Description

The Sample Coordinator collects and processes all merchant samples and generates ‘store use’ forms to acquire samples needed by Creative Services for catalog, Internet and Marketing promotions, and the collection and distribution of all sample merchandise earmarked for special BPS events. Each sample received is accurately logged, tracked, and distributed or otherwise appropriately disposed of.

ESSENTIAL FUNCTIONS:

  • Uses catalog outlines and reports to determine what samples need to be ordered from the warehouse, retail stores, or from the merchant, and then completes the appropriate forms to acquire each sample.
  • Enters required information in to the Creative Services database (File Maker Pro) to generate a label which is applied to the appropriate color coded tag describing the sample type and to aid in the final disposition of the sample.
  • Enters periodic updates specific to each sample throughout the creative process ending with noting the final disposition method.
  • Collects all samples delivered to Central Services and the warehouse, logs them in with appropriate tracking number, and then places them on the merchant’s mail shelf.
  • Prepares and distributes notification of all receipts twice daily.
  • Collects all samples requested with a ‘store use’ form from the warehouse and distribute them accordingly.
  • Logs and processes all outgoing Merchandising mail.
  • Confirms all required forms are included and deliver outgoing mail to the appropriate pick up location.
  • Packages samples no longer needed and create the appropriate restock or Outlet form and deliver to the appropriate pick up location.
  • Contacts vendors and coordinate the return of their samples.
  • ALL OTHER DUTIES AS ASSIGNED.

TRAVEL REQUIREMENTS:

  • N/A

PHYSICAL REQUIREMENTS:

  • Regular computer work, and sitting
  • Frequently riding a Workman Trike throughout warehouse delivering Samples
  • Occasional walking, standing, and lifting up to 50lbs

INDEPENDENT JUDGEMENT

  • Performs duties within scope of general company policies, procedures, and objectives. Analyzes problems and performs needs assessments. Uses judgment in adapting broad guidelines to achieve desired result. Regular exercise of independent judgment within accepted practices. Makes recommendations that affect policies, procedures, and practices.
