Job Description

The primary objective of the Sales Support / Business Development Assistant is to support the growth of the NDIS business by managing incoming enquiries, following up prospective participants, developing referral relationships, and providing administrative support throughout the sales and onboarding process.

The role will help ensure that enquiries are responded to promptly, opportunities are followed through consistently, and potential participants move smoothly from initial enquiry through assessment and onboarding.

The successful candidate will work closely with the business owner and internal team to build referral networks, maintain accurate lead records, and identify opportunities to increase participant numbers and improve the overall sales process.

Lead Management & Enquiry Handling

  • Respond promptly and professionally to new enquiries received through phone, email, website, social media, and other channels.
  • Qualify prospective participants by gathering relevant information such as location, support needs, funding status, and urgency.
  • Record and maintain accurate lead information in the CRM or designated tracking system.
  • Follow up with prospective participants who have expressed interest but have not yet commenced services.
  • Manage follow-up schedules to ensure no enquiries or opportunities are missed.
  • Book and confirm appointments, consultations, and assessments for the business owner or relevant team member.
  • Provide prospective participants and families with accurate information about available services.
  • Escalate complex enquiries or matters requiring clinical, operational, or management input.

Referral Partner & Business Development

  • Research and identify potential referral partners across Western Australia, including NDIS providers, support coordinators, plan managers, allied health providers, and other relevant organisations.
  • Build and maintain a database of referral partners and business development contacts.
  • Conduct professional outbound calls and emails to introduce the business and explore potential referral or collaboration opportunities.
  • Develop and maintain positive relationships with referral partners and other relevant stakeholders.
  • Follow up with referral partners consistently and professionally.
  • Record conversations, outcomes, next steps, and follow-up dates in the CRM or tracking system.
  • Send approved service information, brochures, introductory emails, and other business development materials.
  • Identify potential opportunities to increase referrals and participant enquiries.

Sales Process Support

  • Support the end-to-end sales process from initial enquiry through assessment and onboarding.
  • Track prospects through each stage of the sales pipeline:
    • Enquiry
    • Qualification
    • Assessment / Consultation
    • Onboarding
    • Active Participant
  • Assist with preparing and sending service information packs and introductory correspondence.
  • Assist with preparing simple service agreements and onboarding documentation using approved templates.
  • Follow up on outstanding information or documentation required to progress a prospect.
  • Coordinate with the business owner and relevant team members to ensure leads progress efficiently.
  • Provide regular updates on the status of active leads and opportunities.
  • Prepare weekly activity reports covering new enquiries, follow-ups, appointments booked, referral activity, and key outcomes.

CRM & Administrative Support

  • Maintain accurate and up-to-date CRM records and lead tracking spreadsheets.
  • Record all relevant communications, follow-up actions, and outcomes.
  • Maintain accurate contact information for participants, referral partners, and prospects.
  • Ensure follow-up dates and next actions are clearly recorded.
  • Assist with preparing reports and tracking business development activity.
  • Coordinate with the Accounts & Administration Officer to ensure a smooth handover when a new participant commences services.
  • Ensure participant and referral information required for onboarding and billing is accurately communicated to the administration team.

Marketing & Business Development Administration

  • Assist with basic marketing administration as required.
  • Create and update business listings and directory information.
  • Assist with posting approved content or service information on relevant platforms.
  • Coordinate simple email campaigns and follow-up sequences using approved templates.
  • Use AI tools where appropriate to assist with research, drafting, and administrative tasks while ensuring all communications are accurate and professionally reviewed.
  • Assist in maintaining up-to-date service information and promotional materials.

Process Improvement

  • Identify opportunities to improve lead management, follow-up, referral outreach, and sales processes.
  • Suggest practical ways to improve enquiry response times and lead conversion.
  • Assist with developing and maintaining standard operating procedures (SOPs) for sales and business development activities.
  • Support the implementation of systems and processes that improve visibility of leads, follow-ups, and referral relationships.

Skills & Experience

Essential

  • Experience in sales support, customer service, business development support, lead generation, or a similar role.
  • Comfortable making outbound calls and follow-up calls in a professional and confident manner.
  • Excellent spoken and written English communication skills.
  • Strong interpersonal and relationship-building skills.
  • Strong organisational and time-management skills.
  • Experience using a CRM, lead management system, or structured tracking database.
  • Confident using Microsoft 365, particularly Outlook, Excel, Word, and Teams.
  • Ability to manage multiple leads, follow-ups, and priorities simultaneously.
  • Able to work Perth business hours.

Desirable

  • Previous experience in the NDIS, disability services, aged care, healthcare, community services, or similar sectors.
  • Experience working with Australian clients or in an Australian-facing role.
  • Experience with referral-based businesses or service-based sales.
  • Familiarity with CRM platforms and sales pipeline management.
  • Experience using scripts and templates while maintaining a natural, warm, and empathetic communication style.
  • Previous experience conducting business-to-business outreach or referral partner development.

Qualifications

  • Secondary education required.
  • Diploma or Bachelor's degree in Business, Marketing, Communications, Administration, or a related field is preferred but not essential.
  • Relevant sales, customer service, business development, or NDIS experience is highly regarded.
