The Sales Support Associate serves as the operational backbone of the sales team by coordinating trade show logistics, supporting warranty and Return Merchandise Authorization (RMA) processes, and ensuring customers receive timely, professional service after the sale. This role works closely with sales, manufacturers, freight carriers, warehouses, and customers to deliver an exceptional ownership experience while keeping internal operations organized and efficient. This position is ideal for someone who enjoys solving problems, staying organized, and taking ownership of projects from start to finish.
ESSENTIAL FUNCTIONS
Trade Show & Event Logistics
• Coordinate all equipment and smallwares for regional and national food shows.
• Prepare, crate, label, and document outbound shipments.
• Schedule freight pickups and deliveries.
• Load and unload show equipment safely.
• Track shipments to ensure on-time arrival and return.
• Assist with booth setup and teardown as needed.
• Maintain inventory of trade show assets, literature, signage, and promotional materials.
• Coordinate repairs and replacement of show equipment.
RMA & Warranty Administration
• Manage the complete Return Merchandise Authorization (RMA) process.
• Open, track, and close warranty claims.
• Coordinate with manufacturers, vendors, freight companies, and customers.
• Obtain photos, serial numbers, invoices, and supporting documentation.
• Schedule replacement shipments and returns.
• Monitor aging RMAs and proactively follow up until resolved.
• Maintain accurate records and reporting.
Warranty & Service Support
• Serve as the primary point of contact for warranty service requests.
• Coordinate service dispatches with authorized technicians.
• Communicate service status and expectations with customers.
• Escalate urgent issues when appropriate.
• Track open service calls through completion.
• Ensure warranty compliance with manufacturer policies.
Sales Operations Support
• Support National Account Managers with administrative and operational tasks.
• Coordinate equipment deliveries and project logistics.
• Assist with order documentation and shipment tracking.
• Prepare reports and maintain CRM information.
• Support special customer projects and equipment rollouts.
• Maintain organized documentation for customer records.
MINIMUM QUALIFICATIONS
• Associate's degree preferred or equivalent experience.
• 2+ years in customer service, logistics, operations, or sales support.
• Experience with freight coordination or equipment logistics preferred.
• Strong organizational and time management skills.
• Excellent written and verbal communication.
• Proficient in Microsoft Office (Excel, Outlook, Word).
• Experience with ERP or CRM systems is a plus.
• Ability to manage multiple priorities in a fast-paced environment.
