POSITION SUMMARY:
The Ski and Snowboard School Sales Support Administrative Assistant is a Full-Time Winter Seasonal Role. This position reports to the Guest Service Manager and works closely with both Guest Services and the Ski & Snowboard School. The Sales Support Administrative Assistant provides informational support to guests regarding all aspects of the Ski & Snowboard School's daily lesson offerings, Special Programs, Specialty Clinics, Private Lessons, and General Information.
This role assists guests with completing online purchases and creating bookings for guests via phone and email for all Ski & Snowboard School products as well as lift tickets and rentals. The sales support agent will facilitate all aspects of the Kids Multi-Week Programs that runs four months long and includes assisting guests in registration, refunds and fielding complaints and questions. They will also facilitate all aspects of lesson pack registrations, cancelations, and changes.
The sales support agent will work as a liaison with Ski & Ride School Supervisory staff and Guest Service staff to compile reports, screen guests pre-arrival, and resolve general guest issues such as refunds, cancellations, etc. They will also assist the Private Lesson Center Lead with duties of responsibility concerning money, assisting GS Agents with guest-related situations, backing up the Private Lesson Center Lead during busy times, and assuming his/her duties during the Lead’s absence. The Sales Support Administrative assistant will also work with the Ski and Snowboard School Admin team and assist them as needed with scheduling, timekeeping, time off requests, on & offboarding staff, helping maintain inventory of Flaiks, and other duties as needed.
Employees in this position must provide excellent guest services at all times. This role must maintain an excellent working knowledge of the POS system RTP|One, all WP Ski & Snowboard School product offerings and other products offered at Winter Park Resort. This includes product pricing, booking requirements, product availability, dates for special programs & clinics, lesson ability levels, product times & dates, product age groups, etc.
WAGE:
Hourly pay: $22/HR
ESSENTIAL DUTIES:
- Maintain an excellent working knowledge of all Winter Park Ski & Ride School services and operations for Adults and Kids: daily products, special programs, prices, ability levels, times and dates, age groups.
- Professionally handle calls, emails, and SMS messages from guests with specific Ski & Ride School questions and general questions about Winter Park Resort.
- Responsible for working knowledge of all Winter Park Resort policies, products, practices, promotions, and conditions. This includes but is not limited to, lessons, rentals, lift tickets, season pass products, groups, product pricing, special programs & procedures, WP programs & events, weather & snow conditions, special events and promotions within Marketing/Sales, Competition Center, the Town of Winter Park, and general ski area information.
- Communicate complete details of all products, prices, locations, times and pertinent information using both verbal (in person and via phone call) and written (email and SMS) communication as required. Communicate clearly and accurately to set appropriate expectations for all products.
- Assist guests with the selection and sale of appropriate products including but not limited to, lessons, special programs, equipment rental packages, season passes and lift tickets.
- Process Kids Special Programs and Adult Specialty Clinic registrations. Field calls from guests regarding Special Programs and Camps questions. Work with the Special Programs Supervisor on coordination of special programs and clinics by providing rosters and other needed information.
- Resolve guest issues through investigation of prior purchase history. Administer guest follow-up contact as needed.
- Maintain a friendly, congenial, and helpful attitude while effectively dealing with guests and other employees. Professionally handle guest complaints and help solve guest problems. Show cooperation and pleasant attitude. Strive to facilitate an atmosphere of teamwork.
- Participate in the gathering of information and production of management reports as instructed by the Ski & Ride School Director, On Snow Operation Manager and/or on Snow Operations Supervisor.
- Maintain the management reporting system for sales operations, ensure daily security of space and monies, set alarm systems and secure vaults and vault room. Maintain daily receivable charges.
- Assist the Ski and Snowboard School Admin Team with scheduling & timekeeping duties, time off requests, and on & offboarding for Ski and Snowboard School staff. Help with maintaining inventory of Flaiks, including tracking down lost/missing Flaiks.
- Conduct and participate in regular staff training.
- Work directly with Central Reservations, Guest Services, and Ski and Snowboard School Team as the need arises.
- Follow established policies and procedures. Supports Alterra and Winter Park Resort Core Values. Sets the example for others and is above reproach. Is comfortable to challenge established policies and procedures, but once established, is supportive of those rules.

Other Duties:
- Assist other roles such as Administrative Manager, Administrative Supervisor, Private Lesson Desk and Guest Services as needed.
- Learn all SRS policies and procedures as well as on hill operations.
- Maintain sufficient supplies and ticket stock at workstations.
- Report and/or correct unsafe conditions regarding equipment, work area and ski area in general
- Perform other duties as assigned
REQUIREMENTS AND QUALIFICATIONS:
Education Requirements:
- Education-High School Diploma or GED or equivalent
- General Skill, Knowledge, and Qualification Requirements:
- Minimum one year cashier experience, retail sales, accounting, or equivalent.
- Minimum one year experience with multi-line telephone system and retail data entry computer systems.
- Must have guest service, typing/keyboarding, and good communication skills.
- Must have exceptional organizational and people skills.
- Must be organized in tasks, see projects through to the finish, have good follow-through, and maintain prompt response times with both guests and coworkers.
- Must work well in a fast paced, potentially high-pressure environments.
- An ability to write professional letters & emails and compile reports.
- Must have the ability to problem-solve and have strong analytical reasoning.
- Knowledge of Microsoft Office products.
- Experience with RTP|One highly desirable.

Office Environment:
