Job Description

We are hiring for this position out of our Toronto office Successful candidates who apply outside of this area will be expected to relocate and reside in a location that is within a commutable distance.

About the day-to-day:

  • Coordinate and support client onboarding and sales-related administrative processes, ensuring requests, documentation, and system updates are completed accurately and on time.
  • Prepare, review, and maintain key client and solution documentation, performing quality assurance checks to ensure information is complete, accurate, and aligned across systems and repositories.
  • Manage and maintain records within tools such as JIRA and Confluence, ensuring activities, documentation, and status updates are current and well organized.
  • Organize meetings and working sessions by scheduling invitations, preparing materials, capturing notes, documenting action items, and following up on outstanding deliverables.
  • Maintain team knowledge repositories, process documentation, and supporting resources to ensure information is accessible, accurate, and up to date.
  • Act as a key coordination point between clients and internal stakeholders, helping facilitate communication and ensuring requests are directed to the appropriate teams.
  • Monitor and track activities across multiple workstreams, escalating risks, issues, or dependencies when appropriate and helping ensure commitments are delivered as expected.
  • Support process improvement initiatives by identifying opportunities to simplify workflows, improve documentation standards, and enhance operational efficiency.
  • Leverage strong organizational skills and attention to detail to ensure tasks are completed accurately, deadlines are met, and stakeholders remain informed throughout the lifecycle of an initiative.
  • Drive change and improvement by taking initiative to solve problems and enhance processes within a fast-paced environment.

About the qualifications:

  • 1-4 years of experience in an Analyst, Coordinator, Operations, Project Support, Client Support, Business Support, or similar role.
  • Bachelor's degree in a related field such as Business, Information Technology, Communications, Project Management, or a related discipline is considered an asset.
  • Exceptional organizational skills with a strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Experience coordinating meetings, capturing key discussion points, tracking action items, and maintaining accurate project or team documentation.
  • Strong problem-solving and critical thinking skills, with the ability to identify issues, analyze information, and support the development of practical solutions.
  • Strong documentation skills with the ability to create, maintain, and organize process documentation, repositories, and operational records.
  • Excellent written and verbal communication skills, with the ability to interact professionally and confidently with clients and internal stakeholders (technical and non-technical).
  • Demonstrated ability to build effective working relationships, collaborate across teams, and support stakeholders with a customer-focused mindset.
  • Proven ability to facilitate discussions, gather requirements, and collaborate effectively with diverse stakeholder groups to generate actionable insights.
  • Self-motivated, proactive, and eager to learn, with a willingness to take ownership of tasks and continuously improve processes and ways of working.
  • Experience working with collaboration and workflow tools such as JIRA, Confluence, Adobe Acrobat
  • Proficiency with the Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, Power BI
  • Experience working with identity and access management tools such as AdminUI; familiarity with APIs is considered an asset
  • Experience working with CRM platforms such as Dynamics 365, or familiarity with sales and customer lifecycle processes, is considered an asset.

About the work environment:

Peoples Group offers a flexible and hybrid work environment. In this role you will work a combination of in-office and remotely from home. Typically, you'll be working regular business hours, Monday to Friday between 8:00am and 4:30pm with flexibility around start/end times.

Hiring process:

Compensation:

The expected salary for this role is approximately $65,000.00 - $75,000.00 annually. Actual compensation may vary based on experience, skills, and qualifications.
