This is a permanent position.

Your Tasks

The purpose of this role is to provide sales, customer service and commercial administrative support to the Business Development (BD) team. The Sales & Service Coordinator owns day-to-day order management, supply chain coordination, CRM and pipeline maintenance, and acts as the operational link between BD, finance, operations and factory teams.

Order Management and Client Coordination

  • Process, track and report on customer purchase orders, ensuring accuracy and on-time delivery.
  • Act as first point of contact for routine client queries relating to small orders, delivery schedules and basic commercial matters.
  • Maintain professional written and verbal communication with clients on behalf of the BD team.
  • Support client meetings as required, taking actions and ensuring timely follow-up.

Supply Chain Coordination

  • Coordinate procurement support and supplier liaison in conjunction with operations and factory teams.
  • Manage delivery scheduling with factories to ensure customer commitments are met.

CRM and Pipeline Maintenance

  • Maintain CRM and pipeline records, ensuring data accuracy and completeness for the BD team.
  • Update weighted pipeline reporting on a regular basis.
  • Support the BD team with pipeline analysis and reporting outputs.

Tender and Contract Administration

  • Support tender preparation, document collation and submission via customer portals.
  • Administer contract documentation, including tracking, filing and document control of executed contracts and supporting records.
  • Maintain contract registers and ensure key dates and obligations are captured.

Finance and Internal Reporting

  • Coordinate with the Finance team on client reporting, SOH reports, and invoicing.
  • Support preparation of board reports, KPI tracking and management meeting actions.
  • Provide ad hoc reporting support to the BD team as required.

Cross-Team Support

  • Provide administrative support to the Specialty Products Engineer for turnouts-related activity.
  • Liaise with broader Vossloh business units to support unified Vossloh approach to clients and projects.

Other administrative tasks or ad hoc requests as required and directed.

Your Profile

  • Minimum 3-5 years' experience in commercial administration, sales operations, or a similar commercial coordinator role.
  • Background in any sector accepted; transferable commercial and administrative skills are emphasised over industry-specific experience.
  • Demonstrated track record of supporting a sales or business development team in a fast-paced commercial environment.
