We are seeking a highly organized and detail-oriented Sales Secretary to support an Australian real estate client. The ideal candidate will provide end-to-end administrative support throughout the property sales process, ensuring property listings, sales documentation, and client communications are managed accurately and efficiently.
Key Responsibilities
Manage administrative workflows for agent lost listings, passed-in checklists, sold, fallen-through, withdrawn, and unconditional property files.
Prepare and process Coming Soon property listings, including new file checklists, property uploads, price changes, and marketing proof approvals.
Prepare sold files for settlement and coordinate file preparation for Bill and other related clients.
Complete file preparation tasks, including marketing invoices, vendor checklist links, and RELLO submissions.
Process new listing amendments and red pen updates.
Prepare and send auction marketing blasts.
Download, organize, and maintain property photography and marketing assets.
Email authorities and relevant documentation to pod members.
Prepare and distribute electronic brochures ( e-brochures) and maintain the Bump Calendar
Ensure all property records, documentation, and sales files are accurate, complete, and up to date.
Provide general administrative support to the sales team and perform other duties as required.
Qualifications
Strong administrative and organizational skills with excellent attention to detail.
Excellent verbal and written English communication skills.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Ability to work independently with minimal supervision.
Previous experience in Australian real estate administration or sales administration is highly regarded.
Experience using Reapit Sales and/or Agentbox is highly preferred.
