Job Description

About the Role

We're looking for a highly organised and proactive Sales Administrator to support sales, business development, and day-to-day operations across the organisation.

This role is ideal for someone who is strong in administration but understands sales — someone who knows the importance of timely follow-up, keeping CRM information accurate, coordinating meetings, and making sure opportunities and tasks don't fall through the cracks.

You'll be closely involved in CRM management, lead and meeting follow-up, sales administration, documentation, social media, event coordination, and general business support. You'll also work across some shared systems and processes with related teams.

This is not a cold-calling role. The focus is on supporting warm leads and existing opportunities, following up with prospects, and helping move the sales process forward.

What You'll Do

  • Follow up on inbound and outbound leads after handover
  • Follow up with prospects after meetings and re-engage leads who have not responded
  • Schedule, coordinate, confirm, and follow up on meetings
  • Maintain accurate and up-to-date CRM records and pipeline information
  • Ensure follow-ups, tasks, and opportunities are actioned promptly
  • Support the preparation and administration of MSAs and other business documentation
  • Work across relevant business and Peoplegig systems as required
  • Manage organisational social media accounts and assist with drafting posts
  • Coordinate events, including event listings and RSVPs
  • Prepare first drafts of proposals and marketing collateral
  • Manage inboxes and calendars, including prioritising and resolving scheduling conflicts
  • Prepare regular updates on tasks, priorities, and pipeline activity
  • Identify opportunities to improve processes and ways of working
  • Make warm calls and send follow-up emails to existing leads and prospects
  • Provide general administrative and sales support as required

What We're Looking For

You'll be a strong fit if you're an experienced administrator or sales support professional who understands how sales processes work and is comfortable taking ownership of follow-ups and systems.

We're looking for someone who:

  • Has 2+ years of experience in sales administration, sales support, business development support, operations, executive assistance, or a similar role
  • Has hands-on experience managing a CRM, including data entry and pipeline management
  • Has ClickUp experience — this is a must-have
  • Experience with GoHighLevel (GHL) and/or HubSpot is highly preferred
  • Understands the importance of timely follow-up and progressing opportunities
  • Is highly organised and able to manage multiple priorities
  • Can quickly identify which tasks are urgent and act accordingly
  • Has strong attention to detail and follow-through
  • Has strong written and verbal communication skills
  • Is proactive and takes ownership rather than waiting to be chased
  • Is comfortable working across multiple stakeholders and systems
  • Can work independently in a fast-paced environment
  • Has experience with social media coordination and/or event administration
  • Is comfortable handling business documentation such as MSAs and proposals

What Success Looks Like

In this role, success means being the person the team can rely on to keep the sales process moving.

You'll be expected to:

  • Keep CRM records accurate and current
  • Follow up promptly on leads, meetings, and outstanding responses
  • Ensure meetings are scheduled and confirmed
  • Keep prospects and opportunities progressing
  • Complete MSAs and other documentation accurately and on time
  • Provide regular updates without needing reminders
  • Understand and prioritise urgent tasks
  • Maintain strong communication with stakeholders
  • Ensure there are no missed or unconfirmed follow-ups
  • Identify and act on opportunities to improve processes

Systems & Tools

You may work with:

  • ClickUp – required
  • GoHighLevel (GHL)
  • HubSpot
  • Xero
  • Claude
  • Business email and calendar platforms
  • Other shared business and CRM systems as required

Work Arrangement

  • Full-time
  • 40 hours per week
  • Remote
  • Standard business hours as agreed with the employer

Why Join Us?

This is an opportunity to take on a varied sales support role where CRM, administration, follow-up, coordination, and business development support come together.

You'll have an important role in keeping leads, meetings, documentation, and day-to-day sales activities organised and moving forward.

If you're naturally organised, commercially aware, proactive, and take pride in making sure nothing gets missed, we'd love to hear from you.
