Sales Operations Associate


The Sales Operations Associate supports distributor/Sales Agent effectiveness and ensures disciplined trade marketing execution across markets. The role coordinates operational alignment between internal teams and distributor/Sales Agent partners, provides guidance on program execution and documentation standards, and helps resolve day-to-day issues to drive consistent execution in trade channels. The position also manages end-to-end SAP administration for trade marketing activities, including budget setup and control, PR/PO processing, and payment/credit coordination in line with financial policies and governance requirements.

As the Sales Operations Associate, you will:

  • Coordinate trade program execution requirements, timelines, and system readiness with Sales and Trade Marketing teams
  • Support trade program deployment (for example rentals, POSM, visibility initiatives) by ensuring accurate setup and alignment with commercial plans
  • Prepare operational trackers, reports, and summaries for business reviews and performance discussions
  • Ensure clear communication and alignment between office teams and field teams on execution rules, documentation, and follow-ups
  • Support onboarding and day-to-day operational alignment to ensure distributor/Sales Agent understanding of trade marketing processes and requirements
  • Coach distributor/Sales Agent partners on execution standards, documentation requirements, payment processes, and compliance expectations
  • Monitor execution accuracy, claim quality, and process adherence; highlight gaps and recommend improvements
  • Act as the liaison between internal stakeholders and distributor/Sales Agent partners to address issues and improve collaboration
  • Coordinate credit note and payment processes for trade marketing investments, ensuring alignment between approved spend and actual execution
  • Validate invoices, claims, and supporting documents prior to submission for payment processing
  • Work with Finance to resolve discrepancies, mismatches, and delayed settlements
  • Maintain tracking of outstanding credits, payments, and reconciliations to reduce financial and operational risks
  • Coordinate contract administration for trade marketing programs, including vendor onboarding, documentation, and renewal tracking
  • Liaise with Procurement, Legal, and Finance to ensure compliance with governance standards and required approvals
  • Support sourcing activities (for example quotation comparisons, supplier coordination, cost validation) for merchandising and trade investments
  • Maintain organized records of contracts, quotations, approvals, and financial documents to support audits
  • Manage SAP processes for trade marketing activities, including budget setup, spending control, and administration in line with financial controls
  • Prepare, submit, and monitor Purchase Requisitions (PRs) and Purchase Orders (POs), ensuring accuracy and compliance with approval workflows
  • Track budget utilization vs. plan across programs, channels, and vendors, and provide visibility on variances and risks
  • Support month-end/period-end activities including accruals and reconciliation between SAP records and trade execution

Requirements:

  • Bachelor’s degree in Business Administration, Finance, Marketing, or a related field
  • Atleast 3-5 years experience in FMCG or comparable industry sales
  • Fluent in English and Cantonese; proficiency in Mandarin is an advantage
  • Experience with BI or reporting tools is a plus
  • Strong coordination and stakeholder management skills, including experience working with distributors or third-party sales partners
  • Strong analytical and reporting skills (trackers, spend monitoring, variance analysis)
