REPORTING RELATIONSHIPS

Reports To: General Manager / Sales Manager

Direct Reports: None

JOB SUMMARY

The Sales Coordinator will provide support to the sales team by performing a variety of administrative tasks, which includes maintaining sales department records, filing contracts, confirming receipt of equipment, and assisting with the preparation of contracts and quotes.

RESPONSIBILITIES

• Prepares documentation such as quotes, contracts, and RFP/RFI responses for potential customers
• Maintains all quote documentation and the WIP with accurate pricing and configurations for all Account Managers
• Maintains all sales demonstration tools and applications
• Coordinates job billing with the sales team
• Enters jobs into the system and assists with ordering equipment for said jobs
• Confirms the arrival of parts for service and contract projects and notifies appropriate personnel of arrival
• Files and maintains documentation according to record keeping and retention guidelines 
• Attends sales meetings
• Responsible for reporting job progress to sales and leadership team 
• Assists with Account Receivable (explanation of why items are owed, contacting customers for payment, etc.)
• Other Duties as assigned

MINIMUM AND/OR PREFERRED QUALIFICATIONS:

EDUCATION

• High School Diploma or GED equivalent

EXPERIENCE

• 2 or more years of administrative experience supporting multiple individuals

CERTIFICATES, LICENSES, REGISTRATIONS:

• None

SKILL REQUIREMENTS:

• Excellent customer service skills.
• Strong attention to detail and ability to work independently. 
• Organized with the ability to multi-task in a fast-paced environment. 
• Personal computer skills, strong typing ability and knowledge of Microsoft Office.

WORK ENVIRONMENT

This job operates in both an office and a field environment. Must be able to sit and/or stand for extended periods of time.
