What this job involves:

As a Sales Coordinator for our Retail and Office Brokerage Team in Vancouver, you'll be the strategic partner who keeps deals moving and brokers focused on what they do best. This role combines high-level coordination with hands-on deal support, requiring you to navigate a fast-paced environment while managing diverse stakeholders across all organizational levels. You'll translate business objectives into executable strategies, oversee critical administrative functions, and ensure seamless information flow between clients, brokers, and internal teams. What your day-to-day will look like:

  • Partner with Senior Brokerage Coordinator and Broker Leads to translate business objectives into actionable strategies and execute on high-priority initiatives
  • Manage the deal-making process from start to finish: edit offers and Letters of Intent, track transaction progress, coordinate documentation flow, and ensure timely execution
  • Oversee administrative operations including calendar management, travel arrangements, meeting coordination, and event planning for clients and brokers
  • Perform database management and reporting tasks in SAR and Dealio: prepare updates, maintain cheque registers, ensure accurate invoicing, and submit brokerage authority reports
  • Create and refine client-facing materials including market surveys, tour books, presentations, and demographic reports in collaboration with the research team
  • Prepare, review, and edit critical documents such as legal paperwork, mandates, commission agreements, RFPs, and quarterly reports with meticulous attention to detail
  • Manage financial reporting and expense submissions, including monthly P&L reports, broker expenses, and training costs, while coordinating accounts payable with finance
  • Leveraging AI tools and technologies to enhance productivity, streamline workflows, and deliver data-driven insights, with willingness to adopt and champion JLL AI solutions

Required Qualifications:

  • 3+ years of relevant professional services firm experience supporting senior professionals in a fast-paced environment
  • Real estate sector experience and/or lease administration background an asset
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience working with AI models such as ChatGPT or Claude
  • Demonstrated ability to multi-task, prioritize competing demands, and maintain exceptional attention to detail under pressure while proactively identifying opportunities for improvement
  • Strong written communication skills with excellent proofreading, editing, and business correspondence capabilities
  • Proven ability to work independently with minimal supervision, exercise sound judgment, and maintain strict confidentiality
  • Must be flexible and highly motivated with a willingness to take initiative

Preferred Qualifications:

  • Bachelor's Degree in Business, Real Estate, or related field
  • Completion of professional development courses or certifications related to AI implementation and best practices
  • Working knowledge of Adobe Creative Cloud (InDesign, Photoshop, Illustrator, Acrobat Pro)
  • Familiarity with real estate platforms and tools such as Dealio, CoStar, Blackbird, Google Earth, CRM systems, and Spider
  • Experience coordinating client events and managing stakeholder relationships at all organizational levels
  • Proactive, optimistic personality with strong interpersonal skills and collaborative work style

Estimated compensation for this position:

60,000.00 – 65,000.00 CAD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
