About the Role

-We support the world’s researchers, learners, innovators, and leaders by publishing peer-reviewed research, developing career-ready skills, and delivering AI-powered learning and knowledge tools. We are currently seeking a Sales Coordinator to join our APAC Sales Administration Team, supporting institutional customers predominantly in Australia and New Zealand.

-As a Sales Coordinator, you will provide administrative and operational support to our Institutional Sales team, working closely with Account Managers to ensure the efficient management of customer accounts, sales transactions, licensing agreements, and invoicing activities. This is a great opportunity for someone who enjoys variety, problem-solving, and building strong working relationships across a global organization.

About Our Business

Products: Academic journals, books, and research content, delivered mainly through Wiley Online Library, and offered through annual subscriptions, one-time purchases, and licensing agreements.

Customers: Universities and colleges, corporate R&D organizations, hospitals and healthcare institutions, and other academic and research-focused organizations.

What You'll Do

  • Provide administrative and operational support to Account Managers throughout the sales cycle, including assisting with new and renewal pricing, quotations, and proposals.
  • Process electronic journal orders (new and renewal) accurately within our CRM system, partnering with colleagues across departments to ensure timely and correct revenue invoicing.
  • Use our Contracts Lifecycle Management (CLM) system to support the contracting process, liaising with the Contracts team — particularly during our peak renewal season (November–April).
  • Generate customer reports and usage figures upon request to support good customer service.
  • Build broad competence across the systems used to support the Sales team, becoming a go-to point of contact for reporting information.
  • Respond to ad-hoc queries from Account Managers, customers, and agents on system issues, invoicing, and licensing workflows, routing more complex queries to the right person.
  • Attend meetings with agents or customers as needed to support Account Managers and provide backup information.
  • Build and maintain working knowledge of Institutional Sales business models, as well as broader awareness of adjacent areas such as Print products, Rights & Licensing, and Editorial.
  • Maintain accurate account and opportunity records in our CRM database, keeping sales data current and audit-ready.
  • Participate in internal team meetings, reporting status updates to your supervisor and the wider team.
  • Take on additional tasks, responsibilities, or projects as needed to support the Sales Admin team.

Additional Details

Location: Melbourne, Australia

Travel: Minimal. You may occasionally be asked to attend our annual Global Sales Meeting; business travel for other purposes is rare.

Team: You'll report into the Senior Manager, Global Sales Administration APAC, as part of the broader APAC Sales Administration Team.
