Job Description

Sales Coordinator

The Commercialisation, Commercial & Marketing Coordinator supports the successful delivery of commercialisation projects, commercial activities, and marketing initiatives. Working closely with Commercialisation Project Managers, Key Account Managers, and the Marketing & Insights Manager, the role provides project coordination, administrative support, and cross-functional collaboration to ensure efficient project execution, excellent customer service, and business growth. The position also assists with forecasting, pricing, customer requests, innovation briefs, and stakeholder communication while keeping projects on track and key teams informed of progress and challenges.

KEY RESPONSIBILITIES

Commercial Administration Support

• Support Commercial team by requesting specs and supporting documents for NPD

• Send out forecasts to customers in week 2 with follow up in week 3 for KAM’s to review feedback in week 4

• Share forecasts with 2nd tier customers monthly (week 2) with follow up in week 3 for final review by the KAM’s prior to Forecast submission, with the KAM still has full responsibility for accuracy.

• Support the account managers by compiling agendas and capturing minutes for our 2nd Tier customers with the guidance from the respective KAM’s.

• Manage the updating of and following up with cross functional departments to update scorecards monthly along with other ad-hoc trackers that may vary from month to month depending on customer asks.

• Project manage smaller, cross-functional items/task that require follow up with internal stakeholders which will be ad-hoc and vary in frequency from week to week.

• Support KAM’s with stock, pricing, and other admin queries to support the business requirements from time to time.

Commercialisation Administration Support

• Drives commercialisation projects forward through our commercialisation process, with the support of our internal cross functions (e.g., Product/Packaging Development, Procurement, Supply Chain, Engineering, Operations, Technical, Finance)

• Project manages a range of straightforward “business as usual” projects in a well-organised, co-operative way, with strong attention to detail

• Understands and communicates priorities clearly, to drive action and engagement

• Leads and attends regular meetings to ensure that projects are progressing correctly, next steps are clear, issues are surfaced and resolved quickly and that support teams are aware of upcoming projects. Documents and communicates the results of these meetings clearly.

• Keeps stakeholders informed of progress and aware of any major issues

• Always attempts to resolve issues for own projects, but if unable to do so, escalates issues effectively so that line manager / stakeholders provide support to resolve the issue rapidly

• Maintains accurate project data in the project database, activity trackers, Gantt charts, reports etc, which supports the progression of the projects and the S&OP process

• Maintain project data in relevant systems / trackers

• Note agreements and actions from meetings and follow up on actions

• Supports the CPM to ensure that the commercialisation process and accountabilities are well understood with the functions and that the organisation is aligned to deliver executional excellence

System Administration

• Support the commercial team on Sales force administration management when rolled out in SA.

• Co-ordinate the creation and updating of customer details on SAP • Initiate HALB & FERT data setup in an accurate and timely manner.

• Manage the HALB & FERT data setup approval process, influencing cross functional approvers to validate quickly and ensuring that HALB & FERT data setup is complete in line with project timing requirements

Process improvement

• Drives improvements to existing processes to enable us to continuously improve the speed and quality of deliver of commercialisation projects

Marketing & Insights Support

• Supports Marketing Manager with desk research for ad-hoc proactive and reactive briefs using data partners e.g., Mintel GNPD

• Supports with administrative tasks with regards to branding requests e.g., briefing vendors, documentation for creating vendors, creating PO’s etc.

• Supporting with pre-work for customer meetings, e.g., setting up venue, creating product labels, poster boards

• Help manage marketing briefs on Salesforce and following up with KAMs if not in the system

CANDIDATE PROFILE

Education:

• Bachelor's degree (BSc) or equivalent.

Experience:

• Previous experience in a corporate environment preferred,

• Exposure to project coordination, commercial support, or administrative functions is advantageous.

• Strong communication skills with the ability to work effectively across all levels of the organization,

• Collaborative team player with strong stakeholder management skills.
