Overview
Empire and Co. is currently seeking a Sales Coordinator to join our team at our Atlanta office. This is a full-time, in-office role supporting the sales team and ensuring the efficient coordination of orders and projects from initial quote through final installation and closeout.
The Sales Coordinator plays a critical role in delivering high-level customer service while supporting internal teams, vendors, and clients throughout the project lifecycle. This position helps ensure accurate order management, timely communication, and smooth execution of project deliverables while supporting Empire and Co.’s commitment to Delivering Perfect.
Key Responsibilities
Sales & Account Coordination
- Assist in the preparation of quotes and orders, ensuring accuracy in pricing and product specifications
- Maintain accurate client records, order details, and project updates within internal systems
- Organize floor plans, product counts, and documentation for client presentations and internal reviews
- Support Sales Managers and Sales Coordinators with project coordination and documentation
- Assist with the preparation of reports, presentations, and documentation required for meetings
- Provide responsive customer service by addressing client inquiries and coordinating follow-ups
- Support the preparation of installation materials and documentation for client projects
- Collaborate with internal teams to ensure projects remain aligned with schedules and client expectations
Order Management & Vendor Coordination
• Confirm receipt of purchase orders with vendors
• Confirm acknowledgments and monitor vendor order confirmations
• Track and resolve order discrepancies or acknowledgment issues
• Create and manage vendor deposit requests as needed
• Maintain and distribute order status reports throughout the lifecycle of each project
• Coordinate vendor communication to ensure order accuracy and timely delivery
Pre-Installation Coordination
- Create Operations requests identifying labor requirements including union/non-union and standard time or overtime
- Assist with preparation of installation packages and documentation for Operations teams
- Request and track Certificates of Insurance (COI) required for project installations
- Coordinate logistics and documentation required for project delivery and installation
Installation & Post-Installation Support
- Maintain punch list documentation and coordinate resolution of outstanding items
- Order punch list items when necessary to complete project requirements
- Create laser and RA tickets when a Project Manager is not involved to prompt freight claims
- Support project closeout activities including invoicing upon delivery and installation
- Assist with management of day-two orders and post-installation client requests
- Maintain communication with clients to ensure satisfaction and timely issue resolution
Administrative & Reporting Responsibilities
- Set up new customers and vendors within internal systems
- Request and track manufacturer warranty information
- Compile Product Mix Reports and additional internal reporting as needed
- Maintain accurate documentation of client and project records

QualificationsSkills &

Qualifications
- Minimum 3+ years of experience in the commercial furniture or dealership industry required
- High School Diploma required; Bachelor’s degree preferred
- Steelcase and Hedberg experience strongly preferred
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Ability to manage multiple tasks and priorities within a fast-paced environment
- Strong attention to detail and problem-solving capabilities
- Ability to work collaboratively within a team environment while supporting multiple stakeholders
- Commitment to meeting deadlines and maintaining high standards of accuracy and service
