Gallery Group is one of South East Queensland’s leading residential home builder/developers. As we continue to grow, we are looking for an experienced Senior Sales Contracts Administrator to join our team at our head office in Sanctuary Cove.

This is a hands-on role suited to someone who knows residential building contracts inside and out, has a strong eye for detail and takes pride in getting things right the first time.

About the Role

As our Sales Contracts Administrator, you will be responsible for managing the contract process from preparation through to execution, working closely with our sales, business development and external sales teams.

You will play an important role in ensuring contracts are accurate, compliant and reflect the agreed terms between Gallery Group and our clients.

Key Responsibilities

  • Prepare, review and issue HIA residential building contracts in line with company standards and legislative requirements.
  • Manage contracts and associated documentation through Onsite Companion.
  • Work closely with the Business Development and External Sales teams to ensure contract details are accurate and complete.
  • Maintain accurate and organised records of contracts, variations and correspondence.
  • Liaise with clients, referral partners, solicitors and other stakeholders regarding contractual matters.
  • Review and audit contracts to identify discrepancies and ensure all required documentation and approvals are in place.
  • Manage and document contract variations and amendments.
  • Provide support and guidance to the sales team on contract-related queries.
  • Identify opportunities to improve contract processes, systems and efficiencies.
  • Ensure a high level of accuracy and attention to detail across all contract administration.

About You

To be successful in this role, you will have:

  • Extensive experience preparing and issuing HIA contracts.
  • Previous experience working for a residential home builder – this is essential.
  • Strong proficiency using Onsite Companion – this is essential.
  • Excellent attention to detail and a methodical approach to your work.
  • Strong written and verbal communication skills.
  • The ability to manage multiple contracts and deadlines while maintaining a high level of accuracy.
  • Confidence communicating with clients, sales teams, solicitors and other stakeholders.
  • A proactive approach and the ability to identify and resolve issues before they become problems.
  • Experience using Salesforce will be highly regarded.
