About the role:
The Sales & Catering Coordinator is responsible for providing administrative support to the Sales Managers, Catering & Conference Services Managers, and Directors while maintaining a strong understanding of all aspects of the Sales & Catering process. This role supports department operations through accurate documentation, system maintenance, reporting, and client communication while ensuring compliance with Four Seasons standards. This position is part of the Sales & Marketing team and reports to Sales Leadership.
What you will do:
Respond to incoming telephone calls and inquiries in accordance with Four Seasons standards
Prepare accurate correspondence, including contracts, proposals, Banquet Event Orders (BEOs), event schedules, menus, reports, and emails
Maintain sales and catering systems, including menu input, average check updates, BEO preparation, inquiry assignment, and document templates
Generate reports and documentation supporting Sales and Catering operations
Assist Sales Managers and Catering & Conference Services Managers with administrative and operational support
Maintain accurate client, event, and system records
Coordinate communication between departments to ensure accurate execution of event and group requirements
Maintain inventory of departmental supplies, collateral materials, and printed documents
Provide assistance to clients when a Sales or Catering Manager is unavailable, ensuring prompt and professional service
Support site inspections, client visits, and departmental projects as needed
Assist with departmental organization, filing, and record retention processes
Provide administrative coverage and support when additional coordinator support is unavailable
What you bring:
College degree preferred, ideally in Hospitality, Business, Sales, Marketing, or a related field
Previous administrative, hotel, catering, sales, or hospitality experience preferred
Excellent verbal and written communication skills
Strong organizational skills with exceptional attention to detail
Ability to multitask and manage multiple priorities in a fast-paced environment
Proficiency in Microsoft Office applications including Word, Excel, Outlook, and Teams
Experience with sales, catering, CRM, or hospitality management systems preferred
Food & Beverage knowledge is a plus
Strong customer service and relationship-building skills
Ability to work independently while supporting a collaborative team environment
Typing proficiency and administrative skills including correspondence preparation and document management
