SALES/ BUSINESS COORDINATOR

POSITION OBJECTIVE

The Sales Coordinator I serves as a professional administrative role supporting the SPVC Sales organization through analytical, evaluative, and decision oriented responsibilities that directly impact sales operations, customer engagement, and commercial strategy. The position exercises independent judgment in interpreting sales data, evaluating customer requirements, prioritizing contract actions, and coordinating cross functional communication between Sales, Product Management, Customer Service, and Legal.

MAJOR AREAS OF ACCOUNTABILITY

  1. Customer Sales Contracts & Commercial Documentation: Independently coordinate the processing, review, and prioritization of customer sales contracts, NDAs, and pricing agreements. Evaluate contract completeness, identify discrepancies, and collaborate with Sales, Product Management, and Legal to ensure timely execution.
  2. Customer Sample Follow-Up: Track customer sample requests from initial submission through shipment and receipt, ensuring timely follow up. Communicate with Sales for updates on sample status.
  3. Sales Forecasting, Analysis & Reporting: Input monthly sales volume forecasts by customer and product grade, ensuring accuracy and alignment with Sales team submissions. Track monthly and year to date sales performance versus forecast, identify variances, and prepare summary reports for Sales management.
  4. Business Administration & System Governance: Prepare and submit internal forms for new customer setup, including NANs, NDAs, and account creation documents. Ensure data integrity, evaluate system discrepancies, and implement corrective actions.
  5. Cross Functional Coordination & Strategic Communication: Draft and distribute internal and external communications—including price increase notices, service updates, allocation changes, and force majeure notices—ensuring alignment with commercial strategy and regulatory requirements.
  6. Sales Support & Administrative Tasks: Assist Sales team members with administrative tasks such as data entry, report preparation, trip requests and expense reporting. Generate spreadsheets, charts, and presentations for SPVC Sales reviews, monthly meetings, and management reporting.

QUALIFICATIONS

Previous Related Experience Required

  • One year of experience in sales support, customer service, or administrative coordination.
  • Experience working with contracts, legal documents, or customer account management preferred.

Education Required

  • Associate's or Bachelor's degree in Business, Marketing, or related field preferred.

Technical Skills Required

  • Proficiency in Office 365 (ex. Outlook, Excel, and Teams).
  • Strong organizational and record keeping skills.
  • Ability to manage multiple priorities and exercise independent judgment in a fast paced commercial environment.
  • Experience with ERP or CRM systems.
  • Strong written and verbal communication skills.
