We believe in the power of our people and are looking for a Sales and Operations Administrator to join our team in Baku, Azerbaijan, and play an important role in supporting our sales and operational activities while helping the business run smoothly and efficiently.

What you'll do:

• Manage the full invoicing and documentation cycle for goods and services, including preparation, receipt, issuance, tracking, and collection of signed closing documents.
• Coordinate with local and Corporate Finance and Accounting teams on invoicing, prepayments, billing, supplier approvals, customer adjustments, reconciliations, and reporting.
• Maintain and update contracts, customer information, and related records in the CRM system, ensuring data accuracy and completeness.
• Support the CEO, Enterprise Sales Lead, Key Account Managers, and Bid teams with commercial calculations, quotations, proposals, tenders, and supporting documentation.
• Coordinate with customers, vendors, distributors, and internal teams regarding commercial and operational matters, including required documentation, pricing information, order status, and supporting materials.
• Support import/export, logistics, and delivery-related documentation and follow up on relevant operational processes.
• Prepare regular and ad hoc sales, operational, and management reports.
• Support post-sales activities, including order follow-up, delivery coordination, customer acceptance, documentation, invoicing, and project closure.
• Ensure timely follow-up on outstanding documents, approvals, deadlines, and other operational actions.

What we expect:

• Minimum 2 years of experience in sales operations, sales administration, commercial operations, or a similar administrative role.
• Good understanding of invoicing, financial documentation, and basic commercial processes.
• Experience working with CRM systems; knowledge of ERP or accounting systems would be an advantage.
• Proficiency in Microsoft Office, particularly Excel, Word, Outlook.
• Strong numerical, analytical, and problem-solving skills.
• Excellent organizational and time-management skills, with strong attention to detail.
• Ability to manage multiple tasks and priorities while meeting deadlines.
• Strong communication and interpersonal skills and the ability to work effectively with customers, vendors, and internal teams.
• Ability to work independently as well as collaboratively within a team.
• Upper Intermediate or above knowledge of Azerbaijani, Russian and English.
• Experience in the IT, technology, systems integration, distribution, or B2B environment.
• Experience supporting tenders, bids, quotations, and commercial proposals.
• Familiarity with purchase orders, sales orders, import/export documentation, logistics, and post-sales processes.
